JOB DESCRIPTION SUMMARY
Position Responsibilities:
* Oversee program operations from development through successful execution under the guidance of Operations Manager.
* Assist and communicate with directorates in decision-making, program management, and performance measurement – Prepare KPIs and collect data and report results using Power BI dashboards and other tools.
* Support daily operations through collaboration with operations manager, performing an array of administrative tasks from drafting correspondence, file management, document reviews, veteran call log and veteran social media and directorate Veterans SharePoint.
* Build and develop relationships with all employees for increased efficiency and effective responsiveness into existing operations, and help to define and document new tactical strategies, working with program teams and other leaders on special projects.
* Serve as a subject matter expert, handling inquiries and developing action plans to address them.
* Participates with the program team and other leaders in operational level planning, and policy development.
* Assists in developing and managing program communications strategies including talking points, emails, and presentations.
* Assists in developing messaging on complex issues and creative strategies for communicating across different levels and organizations.
* Assists in developing and maintaining call logs/intake logs/task logs and following those to completion.
* Builds a strong network with team members, across all levels, to capture risks, issues and feedback and understand the opportunities and challenges.
* Ensures timely and effective completion of all deliverables.
* Creates and maintains systems and processes to streamline operations.
* Maintains accurate confidential files and data records.
* Connect teams that are working on similar initiatives.
* Aligns with program budget and supports quarterly audit.
* Monitors veteran focused activities for social value credits.
Requirements:
Education & Experience:
* Bachelor’s degree with focus on communications highly encouraged and/or Military Veteran work equivalence.
* Experience working in a dynamic environment with shifting priorities and a proven ability to lead through the changes required, or equivalent work experience required.
* Strong written and verbal communication and presentation skills.
* Experience working with Wynne Systems, equipment rental and tool tracking software.
* Demonstrated ability to influence, establish and maintain collaborative partnerships.
* Trust and integrity; ability to maintain confidential and sensitive information.
* Build and maintain positive working relationships with co-workers, other partners and the public using principles of good customer service.
* Detail oriented and highly organized.
* Familiarity working in a union environment is enhancing.
* Proficient in MS SharePoint (required)
* Proficient in the use of Microsoft Products: Word, PowerPoint, Excel, and Stream.
* Ability to learn other programs as necessary
* Experience in various social media post: Instagram, Facebook and Interact, preferred.
* Experience managing teams across an organization, preferred.
* Willing and able to travel domestic (up to 20%), internationally (up to 5%) as needed.
* Excellent critical thinking skills.
* Demonstrated ability to work independently and in groups, self-starter with a strong sense of urgency.
* Excellent relationship and interpersonal skills (i.e., driven, personable, and outgoing).
* Ability to foster a cooperative environment for a wide variety of sources, including senior leadership, customers, vendors and other departments.
* Ability to manage and reduce tension among project team members, should it arise.
* Ability to communicate to all levels of organization, administrators, managers, key stakeholders, senior leadership and executive.
Physical Demands:
Must be able to bend, squat, crouch and/or reach and lift up to 25 pounds or more, as required by the job. Some Sunbelt jobs may require driving for long periods of time, loading and unloading heavy equipment, performing work in extreme weather conditions including rain, wind or excessive temperatures and/or night and weekend work. All duties must be performed according to Sunbelt’s safety policies and guidelines. Reasonable accommodations may be made to comply with ADA/ADAAA.
