This position is responsible for providing excellent client service and compassionate, professional handling of a variety of client interaction for the University of Minnesota West Metro Equine Ambulatory Practice. Puts clients first in everything they do by communicating clearly, courteously, respectfully and professional with internal and external clients. This includes asking questions, seeking feedback, explaining ideas or policies, actively listening, using proper discretion, anticipating and meeting service needs, and using proper etiquette when communicating face to face, by telephone or in writing.
Duties will include (but are not limited to) general office support 75% and veterinary technician assistant 25%. Duties consist of scheduling appointments, assisting DVM’s in the field on service calls, and other duties as assigned. The West Metro Principal Operations position also operates as a communications liaison to in house (Piper) customer contact center representatives, DVM’s, and other staff members employed by the Veterinary Medical Center.
Essential Functions
* Support WMEP Clinicians with coordination of practice management – office and clerical duties, data base management, mail/correspondence, facilities and maintenance, billing, communication liaison with VMC, etc.
* Inventory management to include annual inventory counts, ordering, expired inventory and inventory returns.
* Appointment management authority including scheduling and updates. Client callbacks.
* Responsible to ensure that all services and supplies are charged for according to hospital fee schedule.
* Complete and transmit travel sheets.
* Enter charges into computer and enter information into databases; including VetView, PACs and Global Vet. Assist with transmittal and filing of patient medical records and related documentation.
* Deliver outstanding customer service including (for example) greeting patients and clients in a caring and courteous manner, supporting clinicians to effectively carry out their duties, proactively and courteously responding to clients, co-workers, supervisor and medical staff needs and requests, etc.
* Answer incoming calls from clients, referring DVM’s, and from within the VMC. Returns phone calls promptly.
* Sets up for procedures and assist DVM’s with medical procedures and radiographic exam.
* Refills prescriptions as approved by DVM’s.
* Jogs horses for DVM examinations.
* Wash, pack and autoclave instruments.
* West Metro Equine Practice Radiology Safety Officer. Maintains QC of radiograph equipment to include dosimeter badges.
* Prepare lab samples and shipping. Reports results to clients as directed by DVM’s.
* Schedule and coordinate vehicle service and maintenance.
* Participate in practice process improvement initiatives
* Assist with other duties as assigned
Hourly Range $17.67 – $23.87
