The Department of Laboratory Medicine and Pathology is seeking an Administrative Associate to help support the operational excellence of a dynamic and growing department. The Administrative Associate works independently and in partnership with the Administrative Associate Supervisor and is responsible for carrying out administrative and operational job functions by being both strategic and detail-oriented; effectively prioritizing work; anticipating potential problems and developing creative solutions; exercising independent judgment with discretion and building constructive relationships with faculty and staff.
This position will be performed in a hybrid work environment. The supervisor will determine the appropriate balance that meets the needs of the department.
Administrative project management support, coordination and oversight (65%)
* Develop and implement effective administrative and operational systems; manage departments SOPs and policies; document and maintain departmental operations processes and procedures, create job aids, help clarify roles and responsibilities
* Provide design, implementation, and project management support for setting best practices for the department and for process improvement
* Identify opportunities for leveraging technology to improve operations, workflows and processes
* Conducts analysis and makes recommendations to improve efficiencies and effectiveness of business operations to best align with the department’s goals
* Works with faculty and staff to identify needs, obstacles and issues, as well as potential solutions
* Facilitate special department projects as assigned which include, but are not limited to:
o Annual Faculty Evaluations
o Promotion and Tenure
o Faculty Mentoring
o ARTS plan data collection
o Faculty recruiting
o Faculty and staff onboarding
o Faculty activity database maintenance and reporting (Works)
o Research support processes (CR3, biostatistics, bioinformatics, etc.)
o QGenda clinical scheduling
o Staff professional development
o Faculty and staff engagement
* Provide independent administrative support in a fast-paced environment with many competing demands that require initiative and the ability to quickly adapt to short deadlines and last minute requests
* Maintain current knowledge of relevant institutional policies, practices and processes regarding faculty, academic affairs and operations
* Build and maintain excellent relationships and communications with faculty members and staff associated with the department and divisions
Purchasing Specialist (25%)
* Serve as departmental purchasing subject matter expert for complex purchasing requests (contract for professional services, exception to bid, software purchasing, etc.)
* Provide procurement, reconciliation of expenses, vendor set-ups
* Serve as a Chromeriver delegate for faculty expense reimbursements
* Maintain current knowledge of relevant University purchasing processes and policies
* Provide purchasing back support in department as needed
Other (10%)
* Assist with meeting coordination; attend meetings and take meeting minutes upon request
* Serves as key contact for department event coordination and execution
* Provide administrative support to department DEI committee
* Work with faculty to develop clinical chemistry rotation schedule
* Assist with faculty and staff onboarding
* Assist with ad hoc projects and initiatives as needed
