Summary

As a key member of the University’s Office of Vice President & General Counsel (OGC) and its leadership team, the Executive Assistant and Operations Manager will (1) provide confidential, executive-level support to the Vice President and General Counsel and (2) have independent responsibility for a significant volume and variety of operational and administrative duties. The Vice President & General Counsel is the top legal advisor for the University and manages a staff of attorneys, paralegals, legal assistants, and law clerks. This position reports directly to the Vice President and has supervisory responsibility for all legal assistants and responsibility for managing operational and administrative functions. This position can require work outside traditional working hours, given the time-sensitive nature of some projects. This role requires on-site work in Ann Arbor, MI, at least four days each week.

Responsibilities*

• Perform executive assistant and operational and administrative responsibilities of a highly confidential, complex, and time-sensitive nature;
• Coordinate complex calendars by scheduling in-person meetings, virtual meetings, hybrid meetings, and conference calls with a high level of attention to detail, often on a tight timeline;
• Coordinate logistics of meetings and events;
• Draft and proofread correspondence and other documents;
• Department administrator for HR, financial, Pcard, out-of-pocket, and travel expenses and approvals;
• Coordinate travel itineraries and reconcile expenses;
• Responsible for coordinating outside counsel billing with legal support staff, outside counsel, Executive Business Services, and Risk Management;
• Unit liaison with consultants to maintain document management system;
• Supervise legal assistants working on campus and at Michigan Medicine;
• Respond to inquiries and triage matters to appropriate personnel;
• Responsible for general office operations and management, including documenting and educating office personnel on standard work procedures.

Required Qualifications*

• Bachelors degree
• A minimum of five years experience supporting executive-level leaders and interpreting and implementing organizational policies and procedures.
• Demonstrated professionalism as a member of a collaborative, respectful, and high-functioning leadership team.
• Positivity and respect for others.
• Superb attention to detail.
• Diplomacy and ability to interact with all members of the institution.
• Expert level proficiency in Google collaboration tools, Zoom, DropBox, Microsoft Office Suite, and Adobe Acrobat.

Desired Qualifications*

• Higher education experience.
• Experience working in a legal office and supervising others..
• Experience with document management and e-billing systems.
