Position Description:
The Administrative Coordinator assists in tracking the authorization of financial assistance expenditures, authorized strikes, and is involved in many of the day-to-day functions of the office. Oversees the SAP Concur Expense Management System (EMS) and expense reimbursements. As needed, assists the Assistant to the Director with supervising the secretarial and clerical staff.

Education and/or Experience:
Five years of related (same level or slightly progressive) administrative, database management. Working knowledge of the organization’s structure, policies, and procedures is required.
Professional Skills
Must have advanced organizational skills, including the ability to manage multiple tasks simultaneously in a fast paced, deadline-oriented work environment. Service oriented demeanor is required. Must have ability to prioritize work with little or no supervision. Ability to prepare documents and reports requiring the integration of multiple software applications is required. Advanced written communication and composition skills are required. Must maintain strict confidentiality of sensitive employee and organization information and material.
Computer/Software Skills
Intermediate skills using Excel, Word, Adobe Acrobat and administrating a vendor-based database is required. Must have the ability to grasp and excel at utilizing new technology or applications.
Communication Skills
Must have excellent oral and written communications skills. Must be able to troubleshoot issues and assist users to problem solve in a help desk environment.
Other Knowledge/Skills/Abilities Required
Must have advanced organizational skills, including the ability to multi-task and demonstrate strong attention to details in a fast-paced, deadline-oriented work environment. Strong organizational and time management skills (planning, managing priorities and follow-through). Must have ability to prioritize work with little or no supervision.
Must have a complete understanding of the organization’s expense policies and be able to communicate the policies to the vendor to ensure the EMS accurately reflects those policies.
Must have strong analytical skills and make decisions (identifying, evaluating, formulating, and implementing).
Must be able to exercise discretion involving the interrelationships among the International and region offices and personnel. Good Listening and interpersonal skills.
Must be self-directed and work independently and as part of a team.
Must be able to supervise and prioritize work flow of others.
Must show some creativity when creating training materials.
Must have the capacity to keep up to date with technical aspects of the job.
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
Job Demands
Must be able to handle multiple priorities and work projects for completion in a timely manner.
Working Conditions
The work is performed in a normal office environment. Work requires limited travel and/or occasional irregular or unpredictable hours.
Physical Demands
The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
