DESCRIPTION
The Student Health and Well-being (SHW) cluster of the UC San Diego, which reports through UC San Diego Health System, plays a leadership role in creating a strong and active wellness culture that enables all students to flourish in body, mind and spirit. This includes promotion and the expansion/development of a student health and well-being center, and the transformation of existing departments, under the oversight of the executive director, into a cohesive, trans-disciplinary source of integrated wellness services. The SHW cluster includes the departments of Student Health Services (SHS), Health Promotion Services (HPS), Counseling and Psychological Services (CAPS) and SHW Administration.
CAPS delivers campus-based mental health services to over 40,000 registered UCSD undergraduate, graduate, and professional school students. CAPS’ multicultural, multidisciplinary, and student-centered staff strives to deliver culturally proficient counseling services, outreach programming, consultation, research, and training opportunities. Rooted in Student Affairs and Academic Affairs, CAPS services support the academic mission of the University aimed at student success and retention and works toward the maintenance of an inclusive and healthy living and learning environment for individuals to flourish as they pursue their academic and career goals. CAPS is accredited by the International Association of Counseling Services and the Post-doctoral Resident Training Program is APPIC affiliated. CAPS is fully committed to self-examination, peer review, and quality improvement through the utilization of data, outcome, and client experience measurements.
Under the supervision of CAPS Business Operations Manager, the Clinic Operations Assistant plays a vital role in the delivery of mental health services to UCSD students. The incumbent is based at CAPS Central Office and will provide front office, scheduling and administrative support in a high volume University Counseling Center, supporting 12 satellite locations across campus. As the first point of contact to the campus community, the incumbent is a liaison to CAPS range of services, with key responsibilities of clinical support and customer service.
This position will facilitate access to mental health services; educate students about CAPS services, verify eligibility, manage the flow of in-person and telehealth visits for all locations, and provide detailed, timely, essential information to appropriate parties. Incumbent must demonstrate exceptional professionalism, tact, empathy and sensitivity, as well as sound judgment to screen clients and schedule appointments on the basis of need, urgency and presenting concerns, as well as determine when to activate CAPS emergency protocols and support urgent care services. Administrative support to clinic operations and programs are also included.
MINIMUM QUALIFICATIONS
Minimum two (2) years experience in medical or mental health front office, scheduling patient appointments in-person and by phone.
Demonstrated ability to manage a high volume flow of patients, report and resolve issues of concern, in-person and by phone
Ability to provide empathic assistance to clients with psychological and psychiatric conditions, their family members and the campus community.
Thorough knowledge of medical/mental health and insurance terminology.
Ability to communicate clearly and accurately both verbally and in writing, including knowledge of proper business formats, grammar, spelling and punctuation. Excellent interpersonal skills, using tact and diplomacy in order to interact effectively in person or by telephone, with all levels and diversity of campus community and colleagues.
Maintain confidentiality and comply with all requirements in use of computer systems and access to any and all patient, student, employee and University data, in electronic and hard copy formats, in compliance with University, state and federal guidelines, including, but not limited to Health Insurance Portability and Accountability Act (HIPAA) and Family Educational Rights and Privacy Act (FERPA).
Experience and competency with standard business equipment, multi-line telephone system, computer technologies and a variety of software including system and networking software, Microsoft Office suite, email and a variety of web-based programs and browsers, with the willingness and ability to update and increase skills as needed to meet the goals of the unit and the division.
Knowledge and experience using computerized patient scheduling systems. Demonstrated experience in using electronic medical records and understanding of medical record management.

Annual Full Pay Range: $33,900 – $70,052 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $16.24 – $33.55
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
