DESCRIPTION
Reporting to the School of Biological Science’s Chief Operations Officer (COO), the Administrative Assistant provides support to various units within BioSci. Will provide safety office and inventory support by troubleshooting inventory discrepancies, updating records, assisting in equipment labeling; and addressing CAMs entry issues.
Incumbent will provide surplus sales support by processing surplus sales requests, coordinate events, and facilitating equipment transfers. Assist Facilities and Space Management by maintaining accurate space usage records in tririga and handling key control. Provide APHR and general office support by ordering supplies and maintaining work location forms. Perform general administrative duties including ordering supplies, coordinating travel arrangements, organizing meetings, and performing other duties as assigned.
QUALIFICATIONS
Demonstrated experience and proven ability to provide a high level of independent support under the challenge and stress of frequent interruptions and frequently changing priorities and deadlines. Ability to handle multiple tasks simultaneously requiring detail and accuracy.
Demonstrated knowledge, understanding and ability to coordinate work within policies and procedures as they relate to a variety of administrative functions. Ability to exercise extreme diplomacy and mature judgment. Must be cognizant of various ongoing projects and future projects affecting schedules; work flows, etc., and be able to make decisions regarding work priorities.
Customer service oriented with excellent interpersonal skills. Ability to work with a diverse group of people and communicate clearly and effectively via the telephone, e-mail and in person.
Ability to resolve conflicts while maintaining a professional relationship. Ability to demonstrate tact and diplomacy at all levels within and outside the University to promote and maintain positive relationships.
Superior grammar/language skills, both verbal and written. Demonstrated knowledge of correct grammar, punctuation and spelling, with ability to compose correspondence, edit technical papers for formatting and grammar, and proofread all work.
Demonstrated skill and ability in both PC & Mac environments. Mastery of standard business software to include MS Office Suite. Ability to use internet search tools for information retrieval. Willingness and ability to update and expand computer knowledge, skills and abilities in order to respond to changing operational needs.
Ability to make foreign and domestic travel arrangements with the skill to research the most economical rates and prepare all travel-related forms for submission and reimbursement.
Skill to maintain confidentiality required by law and departmental policy for student grades, financial information, and general assignments, etc.
Working knowledge of general accounting practices including fund accounting, program-based budgeting, and contract and grant accounting.
Willingness and demonstrated ability to embrace and consistently uphold the principles of community for a collaborative work environment.
Experience using space management systems including tririga.
SPECIAL CONDITIONS

Pay Transparency Act
Annual Full Pay Range: $40,700 – $81,850 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $19.49 – $39.20
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs.
