Job Title: Project Manager/Coordinator

Role Overview:
The Project Manager/Coordinator will play a crucial role in supporting the Technical Program Manager (TPM) within the Integrated Sales Model (ISM) program. This role combines elements of project management and coordination, with a focus on effective communication, meticulous project planning, and proactive risk management. The individual will work closely with various teams, oversee project resources, manage delivery schedules, and contribute to program success. Proficiency in project management tools such as Smartsheet, Azure DevOps (ADO), and Jira is essential for efficient program reporting and teamwork management.
Key Responsibilities:
1. Requirements Gathering and Analysis:
a. Facilitate scheduling of requirements gathering and analysis activities, connecting functional teams with stakeholders.
b. Assist in documenting and validating project requirements.
2. Project Planning and Monitoring:
a. Collaborate with the Technical Program Manager in creating detailed project plans in Smartsheet.
b. Monitor project progress, ensuring adherence to milestones, budget, and timelines.
c. Provide regular program updates through a Smartsheet dashboard to stakeholders and senior management.
3. Stakeholder Management:
a. Support the TPM in managing relationships with stakeholders, including vendors and external partners.
b. Coordinate vendor activities, ensuring they align with project goals and contractual agreements.
c. Maintain effective communication based on program communication guidelines.
4. Change and RAID Management:
a. Identify, assess, and manage project risks and issues using Smartsheet.
b. Develop mitigation strategies, contingency plans, and conduct continuous follow-ups.
c. Facilitate trade-off discussions and assist in managing changes in program scope, timeline, and resources.
5. Documentation and Knowledge Transfer:
a. Oversee the documentation of project work products on the Program SharePoint Page.
b. Facilitate knowledge transfer sessions among team members.
c. Ensure that all project documentation is organized, accessible, and up-to-date.
6. UAT and Launch Support:
a. Ensure successful User Acceptance Testing (UAT) and provide support during pilot/production launches.
7. Project Coordination:
a. Coordinate project activities across various workstreams.
b. Assist in organizing and facilitating project meetings and workshops.
8. Resource Management:
a. Assist in managing project resources, including allocation and optimization.
b. Track and report on resource capacity and utilization.
c. Provide support to team members as needed and ensure their engagement in project activities.
9. Tool Proficiency:
a. Utilize project management tools such as Smartsheet, Azure DevOps (ADO), and Jira for efficient project tracking and reporting.
b. Ensure accurate and timely reporting of key metrics crucial to ISM program success.
10. Communication and Collaboration:
a. Establish and maintain communication channels between functional teams.
b. Ensure regular updates and effective collaboration among team members.
Qualifications:
Bachelor’s degree in Project Management, Business Administration, or a related field.
Proven experience in project management or coordination roles.
Familiarity with project management methodologies and tools.
Strong communication and interpersonal skills.
Ability to multitask and work effectively in a fast-paced environment.
Proficiency in Smartsheet, Azure DevOps (ADO), and Jira.
PMP and Agile Practice certified preferred.
