Admissions Assistant
Required Qualifications (as evidenced by an attached resume):
Bachelor’s Degree (foreign equivalent or higher) and two [2] full-time years of related experience in an office setting to include data entry and/or reporting. In lieu of degree, a combination of higher education and experience totaling six [6] full-time years may be considered.
Preferred Qualifications:
Experience working with databases, queries and/or reports. Work experience in a College or University setting. Familiarity with Undergraduate recruitment activities. Familiarity with Slate or PeopleSoft. Experience with Microsoft Office and/or Google applications.
Brief Description of Duties:
The incumbent’s primary responsibilities are processing applications and external test score suspense files, and the identification and indexing of application credentials. The incumbent will need to have a thorough understanding of the document handling process, and will use that knowledge to serve as a point of contact for questions related to the process and to train new student and temp staff members. The incumbent will process academic records received by the office using a document imaging systems, Slate and PeopleSoft. The incumbent will need to become thoroughly familiar with the technology used, and be able to serve as a reference and problem solver for technological issues. The incumbent will need to be able to open, sort, and prepare incoming mail for scanning, and to provide coverage for the phones and front reception area as needed. Representation at Admissions Admitted Student Events and Open Houses will be required as requested. The successful incumbent will have excellent communication skills (written and oral).
Duties:
• Prepare and scan incoming applicant credentials. Indexing of incoming credentials with Slate, Peoplesoft and Imaging System. Utilize Workflow system to route electronic applicant folders to proper admissions personnel for processing.
• Coordinate Admissions applications via Slate and Peoplesoft. This includes coordinating applications for review and follow-up contact to students, high school counselors and community college advisors.
• Process and review freshman and transfer admissions applications.
• Represent and promote the University to prospective students and their families. This includes participating in Open Houses, Admitted Students’ receptions, counselor seminars (all of these sometimes require weekend or evening responsibilities), and telemarketing efforts, as well as assisting with admissions reception and telephone coverage.
• Serve as general advisor to prospective students and their families regarding program offerings at the University, including specific information on the status of individual applications.
• Supervise student staff and prioritize major Admissions’ direct mail initiatives. This includes monitoring student assignments and allocating resources to improve workflow.
• Coordinate Admission’s batch retrieval processes from external sources.
• Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes:
This is a full-time appointment. FLSA Non-Exempt position, eligible for the overtime provisions of the FLSA.
In addition to the employee’s base salary, this position is eligible for $3,087 UUP annual location pay, paid biweekly.
