OCCUPATIONAL SUMMARY

Maintain the integrity of the lease database and file system, including, but not limited to the online lease files and hard copy lease files, as well as generate standard and ad hoc reports / letters from the database, manage the execution and distribution of all legal documents and coordinate all aspects of the lease administration process.

PRIMARY DUTIES AND RESPONSIBILITIES

1. Abstract all newly executed lease documents and process data entry in Yardi within specified deadlines to describe lease terms in a manner that enables users of lease abstract database to efficiently access accurate information in order to perform their business functions.
2. Maintains complete lease file for all tenants in Yardi, online and hard file.
3. Manage the distribution of Commencement Date Agreements within specified deadlines and lease abstracts to all applicable parties upon changes to the lease.
4. Partner with Construction Project Management and Property Management on TI projects to monitor critical dates for lease compliance and triggering of lease commencement / rent commencement.
5. Direct the receipt of initial security / rent deposits upon lease execution. Manage process of refunding and / or reducing security deposits throughout lease terms, including analyzing lease to confirm that tenant is entitled to refund or reduction in accordance with applicable lease provisions.
6. Manage tenant names, department names, address changes, Landlord and Property Management changes, and tenant contacts requests.
7. Research and respond to lease related questions in order to ascertain tenant rights prior to Property Management initializing tenant requests.
8. Analyze and interpret lease provisions and advise Leasing, Property Management and Accounting regarding move-outs, final billings (escalation, electric and any unpaid items) and return of security deposits and letters of credit (when applicable) to insure that move-out process is proceeding in accordance with requirements of lease.
9. Prepare correspondence as needed in conjunction with the processing of lease documents.
10. Partner with Leasing Representatives to monitor critical lease dates for preparation of notices relative to lease renewals, expansions, terminations, etc. and track Fair Market Value letters (FMVs) for lease files and Yardi.
11. Generates and posts monthly rent rolls, locations, timeshare schedule, use restrictions, lease expirations, property responsibilities matrix reports, as well as other Yardi reports on a specified basis.
12. Prepares, generates and posts monthly recurring billing.
13. Maintains records of monthly parking access cards and allocates Center Pointe parking.

KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION REQUIRED

1. High School graduate.
2. Two (2) years of relevant experience and/or training in the legal / accounting field and commercial real estate industry and/or property management fields.

KNOWLEDGE SKILLS AND ABILITIES/LICENSE OR CERTIFICATION PREFERRED

1. Associate’s or Bachelor’s degree in Accounting, Finance, Real Estate, or related field preferred.
2. Experience with Yardi Property Management software program preferred.
3. Experience reading and interpreting real estate leases, including all related lease documents is essential.
4. Detail oriented, analytical and computer literate with proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook and Adobe.
5. Organized with ability to multi-task while keeping track of priorities.
6. Superior communication skills, both verbal and written.
