Position description
Serves as the primary resource for coordinating financial obligations for all of Campus Planning, Projects & Operations (“CPPO”) in Mayo Clinic Florida with a focus on all construction activities. Assumes overall responsibility for the coordination of department policies, practices and procedures required to assure the prudent commitment and payment of institutional funds related to construction contracts, expensed projects, work orders, facilities operations, design, engineering and other division financial process obligations for CPPO. Serves as liaison to Financial & Accounting Services, Supply Chain Management, IT and other departments as needed or warranted. May serve as contractual liaison with outside contractors or vendors. Maintains current and accurate files of contracts or related project process documentation related to design, construction, renovations, maintenance and repairs. Coordinates the proper review and payment of invoices for contracts, purchased services (e.g. expensed repairs), utilities, design, construction, and renovations, including Owner Direct Purchase Orders and invoices that are issued by Mayo for construction materials for potential state sales tax savings. Generates other Purchase Orders (capital and non-capital) for CPPO which includes Campus Planning, Facilities Ops, Utilities, Fleet, Security, General Svcs, Safety, Telephone Office, HTM, Environmental Svcs, Laundry, Food Svcs and Gift Shop. Provides monthly and ad hoc financial, contract, utility, service expense or tracking reports as required to properly manage commitments and/or expenditures, and may assist with Pcard reconciliations. Prepares monthly accruals in accordance with the practices of Financial & Accounting Services. Periodically audits invoices to assure compliance with terms of contracts. May coordinate and be responsible to use a Pcard for paying for certain expenditures in which timing is critical for emergent situations, otherwise will follow normal payment procedures. Assists CPPO staff with completing compliance or regulatory forms, project close out process, and computerized management program for projects and work orders. Communicates project expenditure data as directed by Project Managers.
Qualifications
High school diploma or G.E.D. equivalent required. College degree preferred. Requires minimum 3 years of finance/accounting coordination related experience, which includes a working knowledge of spreadsheets and other accounting management tools. Experience and understanding of construction accounting and related processes preferred.

Additional Experience and/or Qualifications: (Has Achieved Competency in the Following Areas, Job Knowledge and Additional Considerations): Previous office experience in facilities, design or construction environment preferred. Demonstrates experience with finances and account reconciliation related to facilities, contracts, purchased services, repairs and utility expenses. Demonstrates database management and experience with spreadsheets, accounting and other management systems. Demonstrates oral and written communication and interpersonal skills. Demonstrates organizational skills, ability to prioritize, and ability to flex work load to accommodate varying demands and tasks. Demonstrates ability to work in a matrix reporting structure.
