Massachusetts General Hospital Looking for Operations Manager, Dept. of Nursing G.I. Endo at Boston Full Time

The Operations Manager is responsible for the daily administrative operations for a service-oriented group of patient care areas, and is the direct line manager of administrative support staff.

The Operations Manager, manages and implements processes and practices that support patient-centered, safe, efficient, effective, timely, equitable and standardized unit operations. The incumbent manages salary and non-salary operating budget, and participates in the capital and operating budget process; manages direct report payroll; supervises and trends the ordering of supplies and special purchases; resolves non-clinical patient concerns; participates in strategic planning, process improvement, and service improvement initiatives; provides project management support to Nursing Directors and other department of nursing leadership staff; assures a quality-focused environment that supports the needs of patients, visitors, and staff. Manages Inventory specialist as well Unit Coordinator staff and participates in charge capture process.

Management

• Has 24-hour management accountability for administrative activities to ensure high quality, timely, and efficient work supporting safe and efficient clinical care Activities including, but not limited to, patient flow, customer service, and staff support, contract /service agreement management, purchase approvals for equipment and supplies.
• Oversees hiring and termination process for administrative staff. Evaluates performance and completes performance appraisals for administrative support.
• Mediates in conflict resolution involving employees as necessary. Determines corrective action in conjunction with Human Resources and counsels staff as necessary.
• Develops staffing patterns and schedules staff to meet work demands 7 days per week operation, including coverage of sick calls, vacations and extended leaves, and deploys staff as necessary.
• Collaborates with Physician Leadership, Administrative Director and Nursing Director on the development of capital budgets. Manages salary and non-salary expenses including expense monitoring, variance analysis; leads and supports expense reduction initiatives. Coordinates product acquisition, special purchases, par level and equipment management.
• D elegates appropriate tasks and responsibilities to administrative support to meet the needs of the patient care and procedural units.
• Participates in strategic process and systems improvement initiatives that support departmental goals targeting patient satisfaction, quality and safety, expense and revenue management, and regulatory compliance.
• P rovides cross-coverage for Inventory Specialist for vacations/absences

Quality: Safe and Effective

• Develops, implements, monitors and maintains systems to ensure the confidentiality and integrity of patient record/information.
• Provides support to Nursing Directors including, but not limited to, collecting and managing data, developing and implementing tracking systems, responding to incidents, assisting with compliance for regulatory inspections such as Joint Commission and DPH.
• Coordinates the orientation of new employees and participates in training for new systems and technology, and ensures compliance with hospital and department requirements and competency with job requirements. Facilitates ongoing development of support staff, assuring staff participation and competency.
• Promotes and initiates active communication and coordination with patient care area leadership, staff, and other departments.

Collaborates with Clinical Managers on Environment of Care rounds

• Optimizes hospital capacity by promoting facilitation of patient throughput and by assuring timely accurate census information.
• Leads and supports the development, implementation and management of process and systems improvements.
• C ollaborates with clinicians and others in planning and facilitating the introduction and use of new facilities, equipment, technology and supplies.
• Develops trending data and identifies and implements expense reduction opportunities in conjunction with patient care area leadership and staff.

• Assists patients, families and staff in accessing appropriate resources. Follows through to resolution on situations involving valuables and belongings, service recovery, and other patient and family needs.
• Builds and maintains ongoing working relationships with staff, clinical and physician members of the patient care areas to facilitate positive staff morale and optimal productivity and efficiency. Through appropriate hiring and management, ensures a culture of exceptional customer service exists for patients, visitors and staff

Education: Bachelors Degree

Required:

• 3 years’ experience at a supervisory level.

Preferred:

• 5 years’ experience at a supervisory level.
• Healthcare experience.

• Busy patient care areas in hospital setting. Areas will be on different floors and in different buildings.
• Flexibility of work hours with weekend and evening support required
• Extensive walking
• Will be in direct patient care areas at times.
