Assigns and prioritizes workloads; evaluates, standardizes and works to improve administrative operating procedures while effectively troubleshooting and resolving issues that may arise. Informs staff of inter and intradepartmental policy procedure changes.
Supervises IR administrative personnel participating in the anesthesia scheduling processes
Participates in IR Leadership meeting, bringing relevant administrative topics to agenda.
Provides administrative support to division chief including: calendar management, travel coordination and general administrative processes related to office management.
Actively manages physician scheduling system (OpenTempo) in accordance to the vision of the division chief and provides assistance to the division faculty, fellows and APPs in the use of the scheduling system
Supports onboarding of new faculty hires, trainees, visiting faculty/fellows, students and processing of non-employee requests
Monitors IRAD phone system, including distributing voice mail call-back assignments for personnel and acquiring and analyzing reports for leadership.
Assesses computer (hardware and software) and phone equipment supporting administrative team in a multi-site environment and makes recommendations to the Operations Manager regarding current operating systems and physical durability. Participates in upgrade plan and/or modifications, as appropriate, including procuring hardware/software to ensure optimal administrivia efficiency.
Assists accordingly with auditing un-dictated reports and works with support personnel, radiologists, and area specific Unit Operation’s Managers to ensure compliance to processing standards.
Acts accordingly as the liaison to other hospital units or departments regarding security, safety, project management, financial access unit, information resources, and research.
Attends and participates in hospital committee meetings as appropriate.
Holds monthly administrative staff meeting with IR administrative personnel.
Collaborates with IR Director/Division Chief and Operations Manager to develop and maintain relative fiscal reporting pertaining to annual administrative operating cost. In collaboration with operations manager, monitors budget performance during the fiscal year, verifying accuracy in the monthly budget statements related to area of expertise. Helps resolves discrepancies and reporting errors as needed.
Ensures that the physical office environments are maintained. Establishes and relays to staff all fire and safety regulations for the area, following established protocols and ensuring compliance with JCAHO, OSHA and Hospital guidelines.
Responds and collaborates accordingly to resolves patient complaints/inquiries.
Performs all other duties as assigned.
