Position Description
Reporting to the Executive Director, you will provide invaluable support to the Carr Center and its research programs, ensuring the success of our events, communications, and overall operations. As an Events Assistant, you will have the opportunity to contribute to various programs, including public lectures, webinars, conferences, study groups, and other engaging activities. Your main responsibilities will include:
Assisting in the organization and execution of a diverse range of events, both virtual and in-person.
Managing the Center’s event registration and database, tracking RSVPs and sending confirmations and important information to participants and speakers.
Coordinating with speakers to schedule webinars, sending confirmation emails and calendar invites, and preparing briefing materials.
Updating the website and event calendar with accurate and engaging information.
Assisting with event publicity through various channels, Gazette, KNet, and social media platforms.
Supporting webinars by managing logistics, admitting participants, monitoring chat, and ensuring smooth day-of-event operations.
Taking detailed notes during events for use in social media, reports, and fundraising efforts.
Providing events-related communications support to the communications team for various purposes, including annual reports, the website, and gift proposals.
Researching event and registration software to streamline processes and improve communication with stakeholders.
Collaborating with the Senior Program Coordinator to handle inquiries received through the department’s main phone and email channels.
Planning, coordinating, and managing events, including location details, speaker arrangements, accommodations, travel, catering, and technical requirements (when public health conditions permit).
Assisting with event budgeting, tracking expenses, and processing reimbursements.
Handling event execution and troubleshooting any logistical issues that may arise.
Providing calendaring and scheduling support for faculty and the executive director, while coordinating with other team members.
Basic Qualifications
A minimum of two years of administrative experience.
Additional Qualifications And Skills
Proficiency in Microsoft Office, Google Suite, YouTube Live, Zoom, and Creative Contact.
Strong writing, project management, and time management skills.
Willingness to learn and adapt to new technologies and databases.
Excellent collaborative skills with the ability to work effectively in a team environment and meet tight deadlines.
Strong attention to detail and the ability to handle complex and confidential information with discretion.
Familiarity with meeting and event technology and virtual event platforms is highly desired.
Availability to work evening events when required.
Additional Information
This position is a fully benefits-eligible term appointment ending one year from the date of hire, with the possibility of renewal. As a campus-based position in Cambridge, MA, we value the in-person experience, cross-team collaboration, and vibrant community-building that our campus offers. The position requires a minimum of three days per week in-person work during the academic year.

Salary Range: $50,122 – $78,291
Note: Starting salaries typically fall in the lower half of the salary range, but they are ultimately determined based on the scope of the position, relevant experience, and internal equity.
