5. Responsible for management of clinic space including but not limited to ensuring optimizing room utilization, patient safety and capital/equipment maintenance and budgeting.
6. Accountable to Department Chair, UHA Ambulatory Operations and WVU Healthcare leadership for Patient Satisfaction achievement in all clinical areas of the department.
7. Oversees the Clinical scheduling functions as it relates to Faculty, Staff and patients.Responsible for internal Call Center or department’s use of the centralized Call Center in support of clinic operations.
8. Works with Department Chair, Faculty and Staff to ensure alignment with UHA/WVU Healthcare “access initiatives.
9. Responsible for personnel management of departmental support staff, including those in the clinic(s).
10. Interviews and selects qualified individuals for employment within the department unless delegated to other appropriate manager(s) within the department.
11. Coordinates periodic evaluation and annual performance appraisal of employees.Establishes realistic goals and performance expectations.
12. Develops and maintains job descriptions for departmental support staff.
13. Coaches and counsels departmental employees to correct identified performance deficiencies in a timely manner.Assists employees in obtaining training needed to correct identified skill or performance deficiencies.Disciplines employees, up to and including termination of employment.
14. Promotes staff development and professional growth.
15. Champions WVU Healthcare’s annual Employee Engagement Survey and along with Department Chair is accountable for department response rate, engagement index and any corrective actions resulting from the survey and its follow-up.
16. Responds to requests; explores and resolves problems as presented by departmental support staff.
17. Manages all aspects of the School of Medicine Faculty Compensation Plan for all Faculty affiliated with the Department.
18. Ensures new faculty is placed on payroll with both UHA and State as part of the Faculty Recruitment and On-Boarding process.
19. Monitors various grants to ensure adequate funding for faculty and staff payroll.
20. Assists in developing faculty incentive plan in coordination with the WVU SOM Dean’s Office and in accordance with the WVU School of Medicine Faculty Compensation Plan.
21. Monitors and updates incentive plan.
22. Monitors Faculty Productivity and facilitates internal reporting and Faculty education related to Clinical, Academic, and Chair Discretionary Incentive programs.
23. Responds to requests; explores and resolves problems as presented by departmental faculty related to Faculty Compensation Faculty Appointment Letters, UHA Professional Services Agreements, Faculty FARA and “Blue Box” Sheets and Faculty Benefits.
24. Oversees or administers the Leave System/Benefits for all Faculty.
25. Oversees the department’s Promotion and Tenure process.
26. Directs the departmental staff in support of initial credentialing and re-appointment with the WVUH Medical Staff Affairs office, and any satellite hospitals as needed.
27. Ensures that processes and procedures are in place to maintain provider licensing, DEA certification, credentialing and participation in UHA payer contracts.
28. Develops and maintains reports to monitor Mid-Level Provider productivity and performance.
29. Determines hardware and software needs of the department and assures those needs are met within the appropriate guidelines and designated budget.
30. Serves as departmental computer/technical support and acts as liaison between the department and the HSC network..
31. Determines most efficient and cost-effective means for gathering and analyzing data needed to support departmental goals and achieve growth through the accomplishment of long-range goals and objectives.
32. Responsible for learning current software and database packages.
33. Communicates and enforces UHA, WVU School of Medicine, and WVUH corporate goals, decisions and operating guidelines to support staff.
34. Facilitates internal and external communications for the department.
35. Serves as liaison for the Department with regard to issues of financial operations and human resources.
36. Prepares detailed annual budget and monthly reports.Monitors budgetary compliance and progress for all departmental activities including, but not limited to, clinical operations, grants, contracts and special projects.Explains variances from the budget.
37. Evaluates the financial performance of the department regarding cost-effectiveness, efficiency, etc., including viability of satellite clinics and any other special projects.
38. Oversees all departmental business office activities including, but not limited to authorizing purchases of goods and services, and approving all invoices and transfers prior to payment.Approves all deviations from the budget, under the direction of the Chair.
39. Evaluates impact of department’s charge/receipts on budget.Prepares budget projections and provides to Department Chair, appropriate Associate Vice President, Assistant Vice President, Director, Finance and Accounting/CFO, UHA Budget Committee and Dean of the School of Medicine.
40. Assures department’s physical plant, equipment and furnishings are inventoried.
41. Reviews, updates and maintains the department faculty incentive plan.Assists Chair with development of the plan.
42. Provides regular feedback, both formal and informal, to the Department Chair, faculty and staff regarding the financial needs and progress of the department.
43. Ensures documentation needed to support billing process flows unimpeded through the department.
44. Maintains knowledge of billing-related matters for department specialty and communicates pertinent information to staff and physicians.
45. Monitors billing and reimbursement activity, analyzing the data pertaining, but not limited to billing practices, billing and diagnostic codes and payor mix, to assure optimal revenue is being obtained from services rendered and in accordance with regulatory guidelines.
46. Assists with compiling data for Residency Review Committee site visit, including such information as patient census, number of admissions, etc.
47. Coordinates faculty recruitment.Assists Faculty Search Committee.Acts as departmental EEOC/Affirmative Action Officer, ensuring compliance with federal regulations regarding recruitment and hiring.
48. Oversees fiscal and programmatic management of grants, external service/affiliation contracts and development funds.
49. Acts as department liaison and represents the department’s needs in various group meetings.Involved with departmental community outreach effort on behalf of satellite clinics.
50. Determines facility design.Optimizes use of assigned departmental space(s).
51.
