The Oden Institute is an organized research unit that fosters interdisciplinary programs in computational sciences and engineering, computational medicine, computational geosciences, mathematical modeling, applied mathematics, data science, software engineering, and computational visualization.
This position is eligible for a Flexible Work Arrangement (FWA) including remote work. Employee must submit all required documentation to participate in remote work.Must be eligible to work in the US on a full-time basis.

Purpose
The Oden Institute for Computational Engineering and Sciences at the University of Texas at Austin is seeking a highly organized and detail-oriented individual to join our team as a Human Resource Coordinator. In this role, you will play a critical part in supporting the Institute’s human resources functions and ensuring the smooth operation of our personnel processes.
Responsibilities
Coordinate with Oden Institute HR team and administer human resources support for the Institute such as follows: process assignments for student employees, researchers, and staff via Workday; review personnel forms and appropriate employee documentation for hires and ensure documents are maintained properly; process immigration paperwork for researchers, students, and staff.
Coordinate and complete the onboarding and immigration process for new employees, including background checks, I-9 paperwork, and informing new employees of any applicable HR policies such as timekeeping, payroll deadlines, and benefit enrollment deadlines.
Coordinate and maintain time sheet processes for both monthly and hourly employees. Provide assistance with issues related to leave management as needed.
Maintain accurate and up-to-date employee records, including personal information, employment history, and training records.
Run monthly compliance reports via Workday to ensure department remains compliant with employment authorizations, timekeeping, and onboarding.
Ensure compliance with hiring policies, procedures, and equal employment opportunity guidelines.
Assist with employee off-boarding and exit procedures.
Serve as HR Coordinator, I-9 Partner, Timekeeper, and backup to HR Partner.
Maintain confidentiality of employee information and handle sensitive matters with discretion.
Assist with employee inquiries related to HR policies, procedures, and programs.
Promote positive employee relations and address concerns in a timely and professional manner.
Contribute to HR communications, including announcements and policy updates.
Generate HR reports and maintain HR metrics related to workforce data, turnover, and other key indicators.
Stay updated on employment laws, regulations, and University policies to ensure compliance and recommend necessary changes or updates.
Other related functions as assigned.
Required Qualifications
Bachelor’s degree in human resources, business administration, or a related field.
2+ years of experience in HR coordination, preferably in a higher education or large organizational setting.
Strong knowledge of HR best practices, employment laws, and regulations.
Familiarity with Workday system and proficiency in MS Office Suite.
Excellent organizational skills with the ability to handle multiple priorities and deadlines.
Strong attention to detail and accuracy in record-keeping and documentation.
Excellent communication skills, both written and verbal, with the ability to interact professionally and confidentially with employees at all levels.
Ability to maintain confidentiality and handle sensitive information.
Demonstrated ability to work both independently and collaboratively in a team-oriented environment.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
More than two years experience.
Human Resources certification for HRCI, SHRM or other related organization.
Experience with human resources work within an academic environment.
Working knowledge of University of Texas structure, administrative practices, and procedures.
Experience with Workday Human Capital Management. Ability to work independently with limited supervision.
Salary Range
$26,000 + depending on qualifications (based on 20 hours/week)

May work around standard office conditions

This position is eligible for a Flexible Work Arrangement (FWA) including remote work. Employee must submit all required documentation to participate in remote work.
Flexible work hours between 7am and 6pm, regular work schedule must be approved by direct supervisor and may be dependent on current need for team coverage.
