AFSCME Unit 6 – Clerical
Summary:
The position provides purchasing support to the Departments of Genetics, Cell Biology, and Development; and Biochemistry, Molecular Biology, and Biophysics by assisting the BioGen Center financial operations.
Incumbent performs and independently completes projects and/or coordinates programs utilizing broad experience, technical skill and knowledge of organization policies and practices. Exercises independent judgment and discretion.
This is a hybrid role and will be 80% – 90% remote.
1888 Salary Range: $20.53 – 28.88
Job Duties:
(90%) Purchasing Coordination
* Coordinate creation, implementation, and/or modification of computer-based information repositories for required reports, financial systems, and support materials.
* Perform financial transactions including:
o Reconciling purchasing card activity
o Create requisitions.
o Resolve problems with payments: explain and apply complex university and departmental policies and procedures; resolve issues between vendors and labs; answer accounts payable inquiries from vendors and liaison with the cluster and procurement specialists.
o Prepare journal entries.
o Enter departmental deposits.
* Audit and entry of student reimbursements to follow university policy.
* ISO/ESO billing
* Coordinate ordering processes, including reviewing purchase requests, preparing requisitions in EFS, confirming status of orders, verifying receipt of items and prices, setting up vendors, training new faculty and staff on process in alignment with University policies and procedures.
(10%) Other Duties as Assigned
* Work closely with accountants to ensure proper accounts and chartstrings are utilized.
Qualifications

Required Qualifications:
* High School Diploma/GED and four years of related experience. Coursework in a related field may substitute for some years of experience. Additional skills and knowledge may be required of individual positions.
* Proficiency with Google Suite and Microsoft Office applications (Forms, Excel, Docs, Sheets, Calendar, Slides, PowerPoint, etc.)
* Knowledge and understanding of office operations and procedures.
* Strong organizational and interpersonal skills
* Ability to maintain confidentiality.
Preferred Qualifications:
* Experience working in an academic administrative setting.
* Familiarity with University financial software and systems
* Familiarity with University policies and procedures
* Demonstrated ability to communicate clearly with faculty, staff, and students.
* Demonstrated ability to operate as part of a team and possess strong customer service skills.
* Experience trouble-shooting tech issues
* Ability to manage and track multiple concurrent projects.
* Strong oral and written communication skills
* Ability to work independently.
* Ability to coordinate several projects simultaneously and meet deadlines.
* Familiarity with video conferencing software (Zoom, Skype, etc.)
