We are seeking a Project Manager to oversee the Early Psychosis Intervention Network (EPINET) grant awarded to Drs. Piper Meyer-Kalos and Sophia Vinogradov in the Department of Psychiatry & Behavioral Sciences. The Minnesota Hub (EPI-MINN) is one of several locations throughout the country to take part in a national NIMH initiative, which aims to create a network of early psychosis intervention treatment centers offering specialty care to individuals with a recent onset psychotic spectrum illness. This role can be completely remote, in person, or hybrid.
Job Duties/ Responsibilities:
Project Management & Coordination (45%):
*Ensure adherence to federal, state, and University policies for human subjects research.
*Comply with procedures and policies for conducting research with collaborating institutions, including (but not limited to): University of Minnesota; Hennepin Healthcare; Human Development Center (Duluth); University of Minnesota Physicians; MHealth Fairview; Allina Health; Prairie Care; and Radias.
*Draft and prepare materials for submission to the IRB(s), including developing/editing protocols, consent/assent forms, recruitment materials, and other supporting documents.
*Oversee IRB submissions to local and single-source IRBs, and respond to any questions or requests for modifications.
*Maintain regulatory documentation for multiple research projects.
*Comply with regulatory monitoring and auditing requirements.
*Oversee the conduct of studies conducted through the EPINET Grant. Ensure compliance to the protocols.
*Coordinate team meetings and provide regular status updates.
*Track and forecast recruitment for multiple projects and report to the Co-PIs during team meetings.
*Inform the Co-PIs and Co-Is of adverse events and protocol deviations. Comply with prompt reporting requirements.
*Comply with grant reporting requirements.
*Oversee and lead data management tasks in coordination with the Minnesota Supercomputing Institute Staff. Regularly review databases for quality and accuracy.
*Provide technical assistance and support for site staff for clinical software (MIRAH, Test My Brain, etc.). Create and manage user access within these platforms.
*Assist with purchasing supplies, establishing relationships with vendors and research partners, budget management, and software acquisition.
Staff Supervision (35%):
*Provide direct supervision for approximately 4 psychometrist/research coordinator staff. Make recommendations for raises, promotions, disciplinary action, and termination, as needed.
*Provide general supervision for other research coordinator staff assigned to the EPINET project.
*Oversee volunteers, medical student rotations, and student learners within the project.
*Coordinate efforts of multiple teams, including research staff, programming teams, and data management teams.
*Monitor and document staff training for research protocols. Ensure that staff training records are up to date within regulatory systems.
*Provide training for specific aspects of clinical care and clinical research job duties.
*Delegate job assignments to study staff and establish deadlines and metrics. Provide feedback on work completed.
*Establish workflows and guidance documents for staff to follow for various aspects of their job duties.
*Lead weekly team meetings with psychometrists/study staff. Deliver updates, assignments, and feedback to the team, and provide support and guidance.
*Meet individually with direct reports on a regular basis.
*Participate in interviewing, hiring, and onboarding of new hires. Facilitate onboarding at the University of Minnesota and local sites (such as Hennepin Healthcare), as necessary.
Clinical and Research Team Liaison (15%):
*Communicate and meet regularly with clinical leads to ensure research and clinical aims are aligned. This includes ensuring successful integration of clinical and research platforms into the clinic workflow.
*Respond to inquiries from clinical teams and evaluate, plan, and execute requests for system, procedural, or tool changes.
*Interface with third party vendors and other external agencies to facilitate collaborations for clinical and research efforts.
*Support training for new clinical team members on the MIRAH platform, and facilitate other training as required.
*Provide technical support and respond to MIRAH-specific inquiries from clinical teams.
*Collect fidelity data from clinical teams and report back to clinical site leads, NIH, and PIs at least annually.
Other Lab Tasks (15%):
*Support contract management and execution for third party vendors and independent contractors. Participate in negotiation of terms of agreements and scope of work.
*Support establishment of vendor accounts within the University of Minnesota.
*Support payment of contractor invoices.
*Respond to inquiries from vendors and contractors. Draft communications and requests for additional services from vendors, as requested.
*Assist with literature review, drafting of manuscripts, posters and abstracts, and provide materials for presentations, as requested.
*Conduct statistical analyses using SPSS, R, or other statistical software, as needed.
*Contribute to drafting of supporting materials for grant applications.
*Other tasks as assigned.
Required Qualifications:
*BA/BS plus at least 4 years of experience or advanced degree plus 2 years of experience or a combination of related education and work experience to equal 8 years
Preferred Qualifications:
*BA/BS Degree in Psychology, Neuroscience, Public Health, or related field
*Previous experience supervising staff
*Previous experience working with psychosis spectrum disorders (clinical, research, or caregiver roles)
*Previous experience drafting protocols and supporting documents for submission to an IRB.
Experience with data management, programming/coding (e.g., R, Python).
*Previous experience in clinical research
*Previous experience with project management
We are seeking a Project Manager to oversee the Early Psychosis Intervention Network (EPINET) grant awarded to Drs. Piper Meyer-Kalos and Sophia Vinogradov in the Department of Psychiatry & Behavioral Sciences. The Minnesota Hub (EPI-MINN) is one of several locations throughout the country to take part in a national NIMH initiative, which aims to create a network of early psychosis intervention treatment centers offering specialty care to individuals with a recent onset psychotic spectrum illness.
Our local grant has two primary initiatives. In the first, we are examining longitudinal measurement based care, comprised of self-report assessments and interviews conducted both in-person and remotely. The second component is examining the impact of a 12-week mobile intervention program targeting cognition and motivational enhancement through clinical trials when administered as part of a coordinated specialty care program.
The EPINET Grant encompasses several research protocols, including: a multi-site chart review study; a multi-site clinical trial; a remote nation-wide clinical trial; 2 qualitative interview studies; and 2 observational behavioral studies. These studies vary in their design and their complexity. Additionally, the multi-site projects rely on single-source IRBs, requiring coordination from local site entities and the IRB of record.
We are partnered with seven clinic locations with ten individual programs/teams across the state of Minnesota. These clinical locations have varying degrees of involvement in the clinical and research programs associated with the EPINET Grant, and each have unique procedural requirements.
The EPINET team is composed of both clinical care providers from coordinated specialty care clinics for early psychosis, as well as research staff who conduct study appointments. This role will support aspects of clinical operations and will provide oversight for research protocol administration and compliance across all research locations. The incumbent will coordinate between several teams, lead team meetings, and provide updates to leadership and other members of the team. This role will also be responsible for several aspects of grant management, including assisting in drafting annual reports and completing regular submissions of data to the EPINET National Data Coordinating Center. The incumbent will be responsible for the direct supervision of several staff who have hybrid clinical and research duties and are located at multiple partnering institutions, and will support the general supervision of additional team members.
Successful candidates will be highly organized, able to manage several competing priorities, and can track progress across several initiatives across teams. The incumbent must be able to work independently under general supervision. Excellent interpersonal and communication skills are required for this position in order to maintain cooperative working relationships with various teams and vendors. Public speaking will be required when leading team meetings. Previous experience in clinical research is required. Previous experience in managing staff and project management is strongly preferred. Experience working with clinical populations who experience psychosis spectrum illnesses is preferred, whether in a clinical, caregiver, or research role, but is not required.
