DESCRIPTION
Serve as the Business Operations Supervisor for Triton Print & Digital Media which is a self-supporting service enterprise made up of five areas: Print & Document Centers (P&DC), Digital & Printed Advertising (D&PA), Multifunctional Printer Services (MFPS), Wepa Student Printing Services (WSPS) and Laser Printer Repair (LPR). This position is responsible for overseeing the day-to-day operational support for financial, space, administration, personnel, and client technology solutions. Manage all financial activities, service call response time, recharge administration, maintenance agreements, equipment purchases and equipment inventory, software licenses, websites, MOU creation and management, and records retention.
As the divisional personnel contact, this position will be responsible for the onboarding and off-boarding of staff and students. This also includes delivery of training, recruitment support, and timekeeping. Provide leadership and supervision to Electronic Technicians and Customer Service Representatives help desk staff in support of MFPS, WSPS and LPR. Represent the organization in campus-wide teams, committees, and workgroups, as needed. Receive predetermined work assignments that are subject to a moderate level of control and review. Direct subordinates to complete assignments using established guidelines, procedures, and policies. Work on issues of limited scope. Requires full knowledge of own area of functional responsibility.
QUALIFICATIONS
Bachelor’s Degree in Business Administration, Economics, Statistics, Educational Administration, Political Science, or an allied field, and experience in administrative analysis or operations research; or an equivalent combination of education and experience.
Demonstrated supervisor and leadership skills with experience and proven ability to apply management principles, practices and techniques in the conduct of business for a large multi-discipline, administrative unit. Demonstrated ability to develop strategies and use initiative, creativity and resourcefulness to accomplish duties.
Demonstrated strong knowledge of accounting practices, business management, fund accounting and audit trails. Demonstrated experience and skill in applying sound resource management and fiscal practices to multiple funding sources and expenditure accounts. Experience with automated financial, payroll, procurement, and other administrative systems.
Strong knowledge and understanding of procure-to-pay, travel and expense, and logistics functions including customer interface and business processes.
Demonstrated experience in financial analysis and planning, and preparation and administration of budgets. Demonstrated experience to view fiscal planning and operational issues in a comprehensive manner in terms of current complexities and interactions, and long-term consequences.
Strong working knowledge of multifunctional devices and printers, cost monitoring and recovery systems, scanners and other document services technologies management.
Demonstrated working knowledge of production processes and vendor requirements for a variety of products.
Solid knowledge of marketing principles, concepts, strategies and best practices. Knowledge in utilizing social media and technology platforms to support a comprehensive marketing and media strategy.
Demonstrated ability to assess procedures and define requirements to streamline business process and result in productivity improvement. Experience initiating and facilitating process improvement efforts. Experience streamlining business processes and/or experience in working with structured workflow in a business environment.
Working knowledge of common computer application programs. Demonstrated proficiency and advanced skills in the suite of business applications required to support operations including Oracle Financials Cloud, Concur, MIS systems such as EFI PrintSmith, NetzCore, Nextent, the Microsoft Office suite (Word, PowerPoint, Teams, SharePoint, Outlook, Access, Visio), or equivalent software applications.
Critical thinking skills and skills to evaluate issues and identify resolutions. Proven ability to identify and analyze complex situations and needs. Skill to gather data and information, determine and evaluate solutions and alternatives and provide final recommendations.
Demonstrated ability to exercise discretion and independent judgment to solve problems when working with a variety of sensitive issues and/or confidential information.
Proven ability to be creative (i.e., skilled in taking ideas, concepts, solutions, etc.) and change and adapt ideas to provide usable innovative solutions to operational and management problems.
Strong service orientation with the ability to effectively manage multiple priorities. Ability to organize workload priorities, manage multiple projects simultaneously, and be flexible to respond in stressful situations to unexpected job demands with frequent interruptions and minimal supervision.
Interpersonal and verbal and written communication skills, active listening, persuasiveness, advising, and counseling skills to effectively motivate others. Ability to work collaboratively with individuals and groups of employees to incorporate their ideas, adapt to their needs, and to encourage them. Demonstrated skill in listening, anticipating, and responding appropriately to the needs of customers.
Demonstrated ability to communicate effectively one-on-one or in group settings, using appropriate vocabulary and taking account of differences in social, cultural, professional and educational backgrounds. SPECIAL CONDITIONS
FBI/DOJ and DMV background checks and clearances required prior to employment.
Must possess and maintain a valid California Driver License and may be required to participate in the DMV Pull Notice Program.
Pay Transparency Act
Annual Full Pay Range: $53,600 – $111,600 (will be prorated if the appointment percentage is less than 100%)
Hourly Equivalent: $25.67 – $53.45
Factors in determining the appropriate compensation for a role include experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. The Hiring Pay Scale referenced in the job posting is the budgeted salary or hourly range that the University reasonably expects to pay for this position. The Annual Full Pay Range may be broader than what the University anticipates to pay for this position, based on internal equity, budget, and collective bargaining agreements (when applicable).
