Job DescriptionThe Enrollment Communication Specialist position provides assistance to individuals interested in pursuing education at TSTC and will provide timely, knowledgeable, and quick responses to the individuals via chat, texts, and emails. This position will be able to provide detailed information regarding multiple areas such as admissions, advising, financial assistance, housing and veteran and support services. The Enrollment Communication Specialist works to create, maintain, and update all types of communication directed to prospective students, current students, and employers.
As a Workforce Training & Continuing Education team member, this position will actively engage with internal and externals customers to assist them in achieving their goals. This position is responsible for upholding the policies and practices consistent with the College mission and values of excellence, accountability, service and integrity.
Essential Functions
Employee will demonstrate TSTC Core values of Excellence, Accountability, Service and Integrity with internal and external stakeholders, customers, students and members of the community.
This position will contribute to the college’s outreach efforts by assisting individuals who are interested in pursuing their education at TSTC and will contribute to student retention strategies. Types of duties include but are not limited to:
* Provide information to prospective students regarding Texas State Technical College’s technical programs including the application process, financial assistance, eligibility requirements, registration, and military programs and benefits regardless of campus.
* Provide information to current students about advising, course registration, financial assistance processes and procedures, and provide referrals to other student resources regardless of campus.
* Demonstrate sufficient understanding of TSTC’s website, portal, live chat, email, campuses, undergraduate programs, continuing education programs and important dates to provide applicants and students with accurate information.
* Assists applicants and students with identifying college resources that will be able to assist them in being successful.
This position will foster communication. Types of duties include but are not limited to:
* Respond in a timely manner to all inquiries received via email, text and phone. Enter notes regarding customer contacts in the customer relationship management tool, and update student statuses.
* Collaborate with faculty and staff to respond to general customer inquiries through a variety of communication methods, including in-person inquiry, telephone, email contacts and other communication modalities.
* Communicate to applicants and students in a clear and concise manner, update comments and document all conversations in the appropriate area using assigned customer relationship management tools.
* Possess a thorough understanding of college policies, procedures, requirements, and effectively communicate them to applicants.
This position will demonstrate advanced knowledge of communication and student systems. Types of duties include but are not limited to:
* Full comprehension and ability to use TSTC’s customer relationship management system in order to assist with strategic outreach efforts to new and current students and update communication as needed.
* Maintain Colleague, TargetX, Salesforce and other databases relevant to the applicant and student.
* Update and maintain reports on communication sent to applicants and students. Recommend updates to communication in order to answer commonly asked questions.
* Maintaining student records and specific material in accordance with standardized system to ensure compliance with records management, privacy, and office procedures.
* Create, update, and maintain other files, reports, and program-related information for applicants and students.
Other duties as assigned.
Education/Experience/Knowledge/Skills
* Minimum Associates degree with exceptional background. Bachelor’s degree or higher in appropriate field from an accredited college or university preferred.
* Minimum three years customer service experience. Experience in sales, recruiting, admissions, records, financial aid, outreach or a related field preferred.
* Thorough knowledge of sales and advising techniques. In depth knowledge of multiple majors will be required for success in this position.
* Thorough knowledge of college policies, procedures, and requirements.
* Skills in judgment and decision-making, problem solving.
* Ability to multitask.
* Abilities in problem identification, reasoning, ability to develop original ideas to solve problems.
* Knowledge of the applicable federal and state regulations governing areas related to the responsibilities of the position including the Federal Educational Rights and Privacy Act (FERPA) and ability to maintain strict confidentiality at all times.
* Ability to relate to individuals and groups of students using communication, counseling, and problem-solving skills.
* Skill in working independently and following through on assignments with minimal direction.
* Demonstrated ability to work effectively in a service environment that is subject to frequent interruptions and skill in setting priorities that accurately reflect the relative importance of job responsibilities.
* Demonstrated computer proficiency using Microsoft Office (Word, Excel, etc.) or equivalent software, the internet, email messaging, and web-based software applications and experience using on-line student information systems. Advanced computer knowledge with the ability to understand and
learn new on-line programs.
* Ability to effectively, professionally, and tactfully interact and communicate, both orally and in writing with students, faculty, staff, and visitors. Skill in independently composing letters, memos, reports, and written communication materials using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
* Skill in accurate record keeping with strict attention to detail. Skill in organizing tasks, documents and materials with efficiency and accuracy.
* This position will require a 5% or greater out-of-town travel that could extend overnight(s).
* This position may occasionally require 10% or more availability to work beyond regular hours of operation and/or weekends.
