The Morton Arboretum is a world-renowned nonprofit organization dedicated to protecting and growing trees locally and globally. We are seeking a volunteer services assistant to join our team to provide highsupport to volunteers and paid staff working together to accomplish the Arboretum’s mission.The successful candidate will be able to establish relationships and build rapport to effectively support volunteers, staff, and institutional initiatives. You’ll be part of an exceptional team working together to make the Arboretum exceptional.
Position Summary:Provide administrative and event assistance for the program which supports over 1,000 volunteers.
Essential Functions:
Support the scheduling of volunteers for major special events, which includes confirmation correspondence, schedule distribution to supervisors, and reminders of event details to all volunteers.
Coordinate volunteer applicant interviews and assist with onboarding.
Provide on-site volunteer supervision and support for special events and other activities.
Audit and record volunteer hours and create and analyze reports from database information. Archive volunteer records as directed.
Assist with the planning and implementation of volunteer appreciation events, recruitment fairs, and the new volunteer orientation.
Provide assistance on special projects, as needed.
Assist with the maintenance of supplies and forms for the Volunteer Office, as well the ID software system.
Demonstrate alignment with the Arboretum’s employee core values to be inclusive, take ownership, work together, keep learning and make the Arboretum exceptional.
Other duties as assigned.
Qualifications:High school diploma required, Associate’s degree preferred. 2+ years customer service experience required. Experience as a volunteer, supervising volunteers, or working in an organization that relies on volunteers is preferred. Special event support experience preferred. Ability to handle sensitive information in a confidential manner required. Strong oral and written communication skills required. Proficiency with Microsoft Office, Google applications and database management software (specificallyVolgistics) knowledge beneficial. Willingness to adapt to new and evolving technologies and programs.

Highly organized individual who can handle multiple tasks with frequent interruptions. Must have a “can-do” attitude to ensure a successful experience for volunteers, visitors, and staff.

Physical Demands: Requires some physical activity: limited lifting and carrying (up to 25 lbs.), working in all weather conditions during special events, walking on uneven terrain.
Work Environment: Office environment. Work is primarily performed indoors with occasional outdoor work for special events and programs.This position is designated as a hybrid-eligible position, allowing for some work to be performed off premise, during regular hours of work.
Equipment: General office equipment, two-way radio.
Schedule: Position requires occasional weekend and evening hours during peak seasons and programs.
