Position Summary AIChE Human Resources department is responsible for sourcing, recruiting, onboarding, learning and development, employee relations, and benefits for AIChE. We help align the human resources initiatives to the organizational strategy taking into account organizational development, gap analysis and the well-being of our employees. The full-time Human Resources Associate (hybrid role) will spend at least 50% of his/her time preparing for and executing timely ADP Workforce Now payrolls for 150 employees, and the associated ancillary reporting. The successful individual will be comfortable with numbers and spreadsheets (well-versed in Excel), have an affinity for customer service, and strong written and verbal communications skills. The ideal team member, a critical thinker, will have proven experience with HRIS systems, is proactive in providing solutions for processes, and is forward thinking to mitigate future concerns. Responsibilities The Human Resources Associate will achieve the following objectives: Develop and execute all semi-monthly payroll associated functions Edit ADP Workforce Now payroll with all payroll cycle employee related details including compensation, taxes, benefits, address, etc. ensuring timely payments to all full-time and part-time employees Collaborate with benefits department and make necessary benefit deductions Process quarterly, monthly and annual reconciliations, wage requests, DOL filings, unemployment requests, etc. Complete error free international payroll once a month (less than 5 employees) Work with ADP technical analysts on reports, tax information and general payroll items Communicate with our finance team to ensure smooth monthly reconciliation of accounts receivable balances from sub-ledger to general ledger. Prepare year-end benefits and salary reconciliation reports including verification of W-2’s. Recruit for interns and temporary staff. Participate in all full and part time employee onboarding off-boarding Lead process to alert all support departments of new hire information and follow-up on receipt of computer, id badge, etc Set-up, review and approve the electronic onboarding packet Meet with new hires for onboarding and train them on ADP and other HR processes Help develop and execute surveys and other research projects to modernize the HR department Manage all employment files Update ADP Workforce Now and other electronic files Maintain existing and historical hardcopy files/documents Research industry & association trends, competitive products, innovations, and best practices for payroll Assist with HR reporting Diversity Data Organizational Chart Recruitment Training Provide documentation to finance for yearly audits Process and mail 1099’s to eligible vendors annually Coordinate procedures of several benefit programs including; semimonthly transmittal of 403(b) & 401(a) contributions & investments (track investment limitations; handle enrollment changes, distributions, year-end reporting, etc) Transitcheck, Flexible Spending, Aflac, etc. Handle all paid time off communications and details. The range for this role is $68,000-$75,000. Office Protocols All employees are expected to be fully vaccinated (willing to upload documentation to your employee record) and should be willing to fill out the health survey and reserve a seat on our planning app before entering the workplace. This is a hybrid role. You may be asked to be onsite 3-10 days per month depending on business necessity and this is subject to change.
