This position coordinates and manages the operations of the administrative duties in the Finance & Accounting department.
Coordinate the activities of Associate Vice President. Manage and maintain complex calendar. Coordinate travel arrangements and other activities. Coordinates the logistics of meetings, conferences and other events. Prepares, coordinates and processes documents related to the Resource Management Committee of the MTC Commission.
Provides excellent student, customer and constituent relations. Researches and prepares complex documents including PDFs, charts, graphs and PowerPoints. Ensures compliance with all guidelines, policies and procedures.
Responsible for the management of personnel flies within the Finance and Accounting Department. Manages and maintains the departmental budget. Coordinates all purchases for the Associate Vice President and the department. Responsible for the fiscal management, procurement management and ensuring compliance with budget and procurement guidelines and procedures. Coordinates all request for proposals for services needed. Acts as a liaison between the college and service personnel for office equipment to include the copier and fax machine.
Responsible for scanning, filing and retrieval of files in the electronic filing system for the departments within the Office of Finance and Accounting to include invoices, vouchers, supporting documentation, journal and budget entry forms and other Finance and Accounting paperwork. Ensures that data entered in electronic filing system is complete, legible and verified for accuracy. Create and maintain an electronic image filing manual. Maintains records/flies in electronic filing system in anorganized manner.

This position is located on the Airport Campus in the department of Finance and Accounting.
Minimum And Additional Requirements
A high school diploma and work experience directly related to the area of employment, i.e., business management, public administration, or administrative services. A bachelor’s degree may be substituted for the related work experience.
Preferred Qualifications
Bachelor’s degree in a related field plus two (2) years relevant experience in business management, public administration, or administrative services; or an associate’s degree plus four (4) years of relevant work experience. Advanced knowledge of computer applications such as Microsoft Word, Excel, PowerPoint. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to supervise and provide training to office support staff. Ability to deal courteously and effectively with the public.
