POSITION OBJECTIVE

The Conference Services Manager is responsible for successfully planning, managing, and executing group meetings and events to meet and exceed budgeted revenues.

Essential Job Functions

• Plans and coordinates details for meetings and events.
• Complete accurate BEO’s, upselling food, beverage, room rental, recreation, special amenities, and technology.
• Communicate all details and changes regarding events to all departments.
• Tour, inspect and monitor banquet rooms and presentations.
• Acts as on-site contact for events, meetings, and larger groups.
• Provide operational guidance to food and beverage event leads.
• Produces banquet checks for group master billing.
• Attends weekly meetings, training programs, and other meetings as designated.
• Provides feedback to leadership relating to guest comments, observations, industry news.
• Follow up with client contact at the end of each meeting to ensure satisfaction and obtain feedback.
• Assists with and completes special projects and assignments as designated by the Assistant Director of Catering & Conference Services.
• Produces invoices for clients.
• Other duties as assigned.
• Maintain accurate forecast of banquet and catering revenues.

Requirements

In addition to performance of the essential functions, this position may be required to perform a combination of the following supportive functions, with the percentage of time performing each function to be solely determined by the manager based upon the requirements of the resort:

• Professionally represent the hotel in community and industry organizations and events.
• Participate as a team player with all departments.
• Provide constructive feedback to all departments.
• Be a leader and a role model to all service professionals.

Education/Experience

High School diploma or general education degree (GED); Bachelor’s degree preferred. Two years of Conference Services or related food and beverage experience required.

• Maintain regular attendance in compliance with Salamander Hotels & Resorts Standards, as required by scheduling, which will vary according to the needs of the hotel.
• Maintain high standards of personal appearance and grooming.
• Comply with Salamander Collection standards and regulations to encourage safe and efficient hotel operations.
• Must be able to maintain confidentiality of information.
• Perform other duties as requested by management.
• Maintain knowledge of food and beverage pricing, proper preparation and presentation of food and beverage items.
• Extensive knowledge of meeting room capacities, banquet set-up, audio-visual and any other pertinent details as they relate to function room set-up.
• Must possess computer skills, including, but not limited to, accounting programs, Microsoft Word, Excel, and iVvy.
• Excellent interpersonal and sales-related skills.

PHYSICAL DEMANDS

• Must be able to sit at a desk for up to five (5) hours per day. Walking and standing are required the rest of the working day. This includes traveling to and from meetings. Length of time of these tasks may vary from day to day and task to task.
• Long hours are sometimes required.
• Must be able to exert well-paced ability to maneuver between functions occurring simultaneously.
• Must be able to exert well-paced ability to reach other departments of the hotel on a timely basis.
• Must be able to lift up to 15 lbs. occasionally.
• Requires grasping, writing, standing, sitting, walking, repetitive motions, listening and hearing ability and visual acuity.
• Talking and hearing occur continuously in the process of communicating with guests, supervisors, and other employees.

WORK ENVIRONMENT

• Must be able to work effectively in a stressful environment, communicate with others, effectively deal with customers, and accept constructive criticism from supervisors.
• Must be able to change activity frequently and cope with interruptions.

Employer-provided Basic Life Insurance and Basic AD&D are provided after 90 days of employment. 401K eligibility is available to full-time employees after 90 days of employment, and part-time employees after working 1000 total hours. Currently, 401K Match is $0.50 on the $1.00 of an employee’s contribution up to 6%; there is a 5-year vesting period.
