About The Role
RTM is looking for a proactive and organized Executive Assistant to support our two Co-Founders. You will handle day-to-day duties that include meeting conflicts, reviewing and responding to email correspondence and calendaring, as well as leading the execution on ad hoc projects while maintaining the highest level of confidentiality.
The ideal candidate will have experience supporting C-suite executives and have the ability to anticipate both Co-Founder’s needs. They will be solutions-centric and have an understanding of the key executive priorities while being proactive to ensure that the Co-Founders make the most effective use of their time and resources.
This role is hybrid in NY/NJ and will have an occasional requirement to come into the RTM’s Midtown NYC office as needed (a few times a month).
Requirements
Determine priority of matters of attention for the Co-Founders; redirect matters to staff to handle, or handle matters personally, as appropriate
Maintain the Co-Founder’s calendars, including scheduling meetings, appointments, speaking engagements, and travel (may include domestic and international) arrangements
Provide status of projects and programs in various departments to Co-Founders
Manage email correspondence to ensure professional, accurate, and timely responses with regard to confidential information
Draft information for internal and external communication – memos, emails, presentations, reports
Keep the Co-Founders advised of time-sensitive and priority issues, ensuring appropriate follow-up
Manage information flow in a timely and accurate manner
Prepare travel arrangements, itineraries, and timely filing of expenses
Work independently and within a team on projects, which may include planning and coordinating presentations and disseminating information
Collaborate with teams to plan and execute company events, meetings, off-sites, and other special functions
Attend key meetings, take notes and hold accountability for teammates with action items
Be creative in offering solutions to alleviate bottlenecks in calendars, projects, etc.
Skills and Qualifications 5 years+ experience in supporting a senior executive or team
Excellent computer skills, including the Microsoft Office Suite, Google Drive, and Gmail
Exceptional writing, editing, and proofreading skills
Excellent organization and time-management skills
Polished and professional communication skills, both spoken and written
Proactive organizational, problem-solving, and follow-up skills
Available to reschedule/coordinate meetings/travel while out of the office as needed
Availability to travel occasionally should the need arise.
