As an Events Coordinator you will report to the Vice President, Senior Events Manager of the Marketing & Communications team. Working cross-functionally within a dynamic team that is highly visible within the bank, you will work across key marketing initiatives, primarily on external events as well as key internal events at the bank. The role will entail coordinating multiple facets of events as well as supporting various marketing and communications activities that support the publicity around these events. The role requires liaising with many internal stakeholders and departments/teams across the bank.
Specifically, you will support the Marketing & Events Team with a focus on production tasks, digital marketing support, logistics, food/beverage selection, administrative needs including invoicing, meeting agendas, marketing collateral inventory, registration management, etc., along with other tasks as related to the events department. You will also support the Internal Communications Team with employee event coordination that will include event production, logistics, equipment and system testing along with event communication elements such as presentation deck support for Town Halls and select event and other internal communication support.
Key Responsibilities:
Event Management (External)
· Support with the creation and management of event campaigns within the invitation management system i.e. inputting event details, drafting save the dates / invites, importing invitation lists, reporting, etc.
· Coordinate client invitation lists across a number of the companies teams and departments
· Coordinate event production, including meeting agendas, formatting presentation decks, hotel bookings, signage, invoicing, briefs, registration, etc.
· Onsite support event logistics at venue
Event Management (Internal)
· Work alongside IT (audio visual testing/technology), general services and communications/events for logistics leading up to and during events (Town Halls, Business Updates, Happy Hours, etc.)
· Draft and send out internal event staff invitations via Outlook
· Coordinate the ordering and scheduling of food and beverage for select 100+ person receptions in office
· Source swag for a range of events with a range of budgets
· Create and format presentation decks for all internal Town Halls in coordination with design team members
· Create header images and intermediate graphics in Canva used for communications and the internal television platform
· Coordinating information from employee events and external client events / sponsorships for recap articles and showcase them on SharePoint
· Update the Marketing & Communications quarterly results deck that is presented to the companies senior executives
Job Skills and Knowledge:
· 2 – 4 years’ experience events and communications
· Experience with working on events ranging from 50 – 500+ attendees
· Ability to think strategically and manage vendors
· Strong writing skills
· Strong organizational and leadership skills
· Flexible, able to think on feet
· Able to interact professionally with people of all levels and business areas
