PRIMARY OBJECTIVE OF POSITION:

To provide comprehensive administrative and project support to the Human Resources (HR) teams. The HR Coordinator will be responsible for providing administrative support to the Talent Acquisition function by helping to ensure an efficient hiring process and exceptional candidate experience. The role supports Talent Acquisition by coordinating activities, managing recruitment events, and conducting interviews for entry level or high-volume positions ensuring consistency and efficiency throughout the hiring process.

The ideal candidate is self-motivated, organized, detail-oriented, has exceptional written and oral communication skills, a continuous improvement mindset, and approaches interactions with candidates/employees with patience, compassion, and empathy.

MAJOR AREAS OF ACCOUNTABILITY:

1. Provides general administrative support to the department, such as: coordinating timely and accurate filing of department documents, monitoring and distributing drug test and background check results, maintaining company organizational charts, and completing expense reports for Human Resource Department Management.
2. Assists in the hiring, onboarding and termination process including candidate screening and scheduling, preparing new hire packets, assisting in the background check or drug screen process and sending out separation surveys.
3. Provides administrative support and performs any task to facilitate the hiring processto support all TA programs such as the employee referral program, internship program, relocation offering, recruitment events, and other pre-hire activities needed. Creates job postings, screens resumes and conducts phone interviews, schedules interviews, making travel arrangements, scheduling pre-employment assessments and initiating candidate onboarding process in the Applicant Tracking System (ATS), etc.
4. Coordinates Company service award program. Works directly with vendor to ensure accuracy and timeliness of employee awards. Makes recommendations to optimize program while meeting budget requirements.
5. Coordinates the timely and accurate filing of employment records. Schedule’s document/record archive and disposal according to record retention policy. Maintains the organization of department file room and supply storage.
6. Assists with department projects and annual events as needed, such as: benefits enrollment and the performance review cycle.
7. Conducts systems training for new managers including applicant tracking, time keeping, talent manager and learning management systems.
8. Serves as a back-up for entering employee status changes (new hires, salary, department, promotion, termination) into the HRIS/Payroll system and answering employee benefit questions.
9. Runs regular and ad hoc reports and organizes and interprets data to support various HR processes, for example: to complete annual EEO reporting requirements.
10. Performs other duties as apparent or assigned.

QUALIFICATIONS:

• Administrative support experience, preferably in a Human Resources department.
• 2-year degree with coursework in Human Resources, Bachelor’s degree preferred.
• Strong technical skills including proficiency with Microsoft Word, Excel, PowerPoint, and Visio.
• Ability to handle confidential information with the utmost judgment and discretion.
• Ability to communicate effectively, both verbally and in writing, with a wide variety of customers, Company personnel and others.
• Knowledge and experience with ADP HRIS/payroll systems preferred.
• Strong organizational and problem-solving skills.
• Able to present information in forms, tables, and spreadsheets.
• Ability to operate under pressure and meet deadlines.
