GENERAL STATEMENT OF RESPONSIBILIT I ES & DUTIES:
You will manage all aspect of the Museum’s collections management system (TMS) and its implementation. You are responsible for managing the Museum’s collection cataloguing system, and play a critical role in the development, maintenance, and use of collection information. Working closely with Museum staff in Curatorial, Digital, Technology, and the Registrar’s office, you will define data management needs, provide user support, and will establish and maintain cataloguing and workflow standards. You will also collaborate on projects that require electronic access to the Museum’s collection information.
PRIMARY RESPONSIBILI TI ES & DUTIES:
Collaborate closely with staff in curatorial and registrar departments in establishing and/or creating use of standards and workflow around Museum administrative procedures related to acquisitions, loans, exhibition planning, and inventory.
Create and/or update documentation regarding museum standards and workflows for TMS.
Collaborate on projects that use collection information from TMS. Collaborate with Technology and other Digital staff on the support and development of electronic resources that use collection information.
Lead TMS users meetings and maintain constant and open communication with TMS power users.
Plan, test, schedule, and implement TMS system upgrades.
Lead large-scale data entry and clean-up projects and support the diverse needs of users across the Museum in properly managing documentation on the collection in a centralized system.
Create custom list views and data views for use in TMS.
Create and maintain advanced reports for Museum departments.
Import data and perform global data changes as needed.
Serve as primary contact with the vendor and ensure that the system stays current with upgrades, and that system improvements are well understood by the Museum’s users.
EDUCATION & EXPERIENCE :
Proven expertise with The Museum System (TMS). required
4-6 years of experience administrating a museum collections management system, required.
Proficiency with Crystal Reports and/or SQL Server Reporting Services
Strong relational database skills (SQL Server preferred)
Experience with end-user training; verbal and written communication skills
Organizational, proofreading, and analytical skills
Degree in Art History, Museum Studies, Information Science, or equivalent experience.
COMPENSATION RANGE:
Pay Range: $85,000 – $100,000/annual

Location Requirements
At time of employment, employees are expected to be located within commuting distance of the Museum. “Commuting distance” means that they are located in one of following states: New York, New Jersey, Connecticut, or Pennsylvania (the “Tri-state and PA” areas), and be able to commute to and from the Museum in a single day.
