Under the direction of the Department Chairperson, the Fellowship Coordinator is responsible for daily operations and coordination activities of the residency/fellowship program. Remains abreast of regulatory requirements and assures that the program meets these requirements. Maintains key records on all fellows, residents, organizes recruitment and on site interviewing, manages the evaluation program, and serves as contact point for all residents both past and present. Responsibilities 1. Assures that key documentation is accurate and available to reviewers in a timely manner to meet tight deadlines. 2. Completes all applications submitted to ACGME for fellowship accreditation. 3. Partners with academic affairs officer to identify new recruitment sources and coordinate advertising. 4. Coordinates the resident/fellow recruitment and selection process including scheduling onsite interviews. 5. Coordinates educational activities (e.g., didactic conference schedule, Grand Rounds, etc.) that support the program¿s curriculum and adhere to ACGME requirements. Drives accreditation activities – ACGME Site Visits, Internal Reviews, annual program reviews, etc. 6 . Develops, distributes and monitors annual rotation, clinic and call schedules as well as program evaluations. 7. Serves as the primary point of contact for the residents regarding all inquiries related to the program: events, rotations, educational seminars and individual schedules. 8. Ensures information on website is updated in a timely manner. 9. Administers and communicates all aspects of the exam; monitors efficiency of proctoring process. 10. Following selection and match of resident, coordinates timely review and authorization of contract by respective resident. (Approximate size of program run by an individual resident coordinator: Pediatrics- 24, OB- 16, Internal Medicine-58) 11. Maintains data for 100 plus residents including program rotational details, related performance evaluations, event schedules and lectures. Ensures records remain confidential and only accessible to those with authority to review. 12. Trains residents to document their day to day procedures for their clinical specialty. Reviews data for each resident to ensure standards and procedures are adhered to. 13. Provides direction to vendor regarding program needs and enhancements- develops reports. 14. Assists program director in planning, developing, and implementing residency/fellowship program quality improvement activities. 15. Coordinates planning and preparation of the annual graduation event. 16. Maintains residency files. 17. Ensures completion of exit survey. 18. Submits certificates of completion as appropriate. 19. Other duties and/or projects as assigned. 20. Adheres to HMH Organizational competencies and standards of behavior. 21. Lifts a minimum of 5 lbs., pushes and pulls a minimum of 5 lbs. and stands a minimum of 1 hour a day. Qualifications Education, Knowledge, Skills and Abilities Required: 1. Minimum of 4 Year / Bachelors Degree. 2. Intermediate working knowledge of compliance and regulatory requirements of residency program. Education, Knowledge, Skills and Abilities Preferred: 1. Administrative experience in health system or college setting. |
