S/he performs administrative and patient service duties on behalf of the Cardiac Arrhythmia Practice leadership. S/he coordinates scheduling support for all procedures and test, reviews and communicates with appropriate departments and troubleshoots operational issues in a time-sensitive manner.
Emphasis is placed on the ability to organize priorities, complete tasks, manage confidential information, and enhance the quality of service to patients and providers. S/he functions as a role model for other practice/program support staff by providing guidance and oversight of administrative processes essential to the practice/program .
The EP Clinical Scheduling Coordinator has a work history that demonstrates a strong knowledge of medical office practices, hospital software systems and policies, and the ability to work effectively and courteously with diverse groups of patients, staff, and providers.
Surgical booking for EP patients, tracks and ensures all pre-op testing has been completed by the patient.
Booking any patients appointments that may be needed for testing.
Communicate dates, locations, pre-op requirements to patients via Patient Gateway, phone, and/or mail.
Responsible for ensuring that patients, family members, and caregivers understand all information given to them regarding procedures, testing, and any other instructions.
Responsible for notifying clinical team members with any questions that may need to be addressed before procedure.
Provide great customer service to patients, families, and caregivers.
Interacts in a courteous manner with physicians/advanced practice providers, nurses, and administrative staff within and outside of MGH to coordinate the care for procedure patients.
Respond to all tasks in a timely manner.
Attend any meetings and trainings that may be required for tasks related to position.
Complies with all internal and external compliance requirements.
Answering the phones and tending to any calls regarding procedure preparation.
Work with the clinical team and EP lab management for any possible new strategies that may come about.
Perform any other tasks that may be needed to help with the flow of patients throughout the procedure process.
Act as a resource to other administrators and assist with tasks involved with procedures from their specific providers.
Performs other duties and/or works on special projects as assigned.
