Acts as key point of contact for all members of both the consult service, surgical reporting team and the Anatomic Pathology faculty to provide direction and guidance regarding day-to-day issues and activities within Consult Service and Surgical Reporting Area. Key point of contact for the employees of the Consult Service and Surgical Reporting areas regarding issues related to Human Resources and Payroll.
HR/Personnel responsibilities:
Provides direct supervision to and is responsible for the conduct, operations and results of the surgical reporting staff in the front office operations of the Surgical Reporting Area.
Responsible for the recruitment, interviewing, hiring and training, provides corrective action as necessary, evaluates performance, approves time off requests, maintains Hospital policies, ensures adequate coverage for all areas of responsibility.
Ensures all performance evaluations are performed in a timely manner and in compliance with Hospital and Departmental wage and salary programs.
Oversees weekly payroll using the Kronos electronic time reporting system.
Using PeopleSoft Manager Self Service System, initiates/approves as appropriate and coordinates with Human Resources for approval of all changes (i.e., salary adjustments, salary distributions, training records, etc.) for all employees
Develops and obtains appropriate departmental approvals for non-professional staff personnel transactions (hiring, salaries, promotions, job descriptions, etc.) for laboratory support personnel.
Assigns and prioritizes workloads for staff. Works with medical director to evaluate staffing and productivity levels.
SUPERVISION OF CONSULT SERVICE ASSISTANTS (9 FTE)
SUPERVISION OF SURGICAL/AUTOPSY REPORTING ASSISTANTS (4.5FTE)
MISCELLANEOUS:
Evaluates and standardizes office procedures and effectively troubleshoots and resolves issues as they arise. Informs staff of policy and procedure changes. Is responsible for ensuring compliance with policies/procedures.
Develops pertinent productivity measures and management information to monitor and evaluate job performance.
Develops, implements and oversees the maintenance of filing, record keeping, and other types of office/program systems.
Identifies and evaluates the means for improving office/program costs, distribution of personnel and work schedules. Makes recommendations for improvements to the Director of the Operations.
Serves as a Subject Matter Expert/Super User with AP Laboratory Information Systems for computer/software related issues and training related to AP’s information system (CoPath).
Assigns and prioritizes workloads. Tracks individual workload statistics. Communicates policy and/or procedure changes and provides training when necessary.
Analyzes office systems and workflow and develops and implements solutions to problems.
Creates and maintains standard operational procedures for consults, autopsy and surgical report processing using MediaLab
Communicates with pathologists and residents regarding consult and surgical report workflow issues; develops and implements improvement plans.
Processes requests for information as requested by internal and external parties. Responds to and resolves customer complaints.
Assists QA Specialist to track data related to quality review of anatomic and surgical pathology reporting.
Performs all other duties or special projects that are department specific, and that are appropriate to this level of position including transcription of surgical and/or autopsy reports. Qualifications –
Associate’s Degree, secretarial science/business or equivalent Bachelor’s Degree, Business, Health Care Administration, or related field preferred
Minimum of 3 to 5 years of directly related experience
Candidates should have a minimum of 1-2 years of prior supervisory experience, preferred.
