The Officer will provide limited administrative support, approximately 15% of time or less, for Client Services staff involved with Principal and Major Gifts and other philanthropic relationships. Tracks facilitations, creates and run reports, prepares materials for meetings, assists with drafting, editing, and proofreading constituent communications. The Officer will act as a Client Services resource for the rest of the Development Office and other hospital colleagues.

Primary Responsibilities
• Execute simple to complex requests, sometimes outside of usual business hours, without limitation of time or patient acuity.
• Implements the delivery of several hospital services provided by the MGH including but not limited to Emergency Room triage, hospital transfers, Phillips House / Private Rooms, Urgent Care, and general Information regarding medical facilitation at MGH, as well as affiliates across the Mass General Brigham enterprise.
• Develops and maintains strong relationships with MGH professionals and affiliated hospitals to expedite coordinated care for patients assisted by Client Services.
• Manages requests for healthcare assistance, both independently and on behalf of the Managing Director, with strong customer service that yields the best possible outcome for every request for assistance received
• Produces correspondence, briefings, appointment confirmations and other written materials independently and drafts other documents as needed
• Arranges for incidental needs of patients and members of their family when necessary
• Assists patients with navigating the hospital when necessary
• Provides overall administrative support to the Managing Director, including managing calendars, meeting requests, expenses and business travel, for no more than 15% of overall responsibilities.
• Drafts processes, protocols and procedures to ensure efficient and effective internal operations
• Coordinates day-to-day operations of the Client Services program
• Produces PowerPoint presentation drafts and related materials as needed
• Serves as back-up facilitator for patients served by the Managing Director as needed
• Ensures that internal policies, HIPAA documentation and protocols are up to date
• Strategizes and creates action plans, when necessary, with Client Services colleagues and other MGH staff to provide optimum service to patients.
• Collaborates with MGH physicians and their support staff to ensure healthcare services are provided as seamlessly as possible to patients referred by the Development Office.
• Prepares and distributes select reports on at least a bi-annual basis
• Communicates regularly with Gift Officers regarding prospects and donors, in strict compliance with privacy guidelines.
• Provides 24/7 on-call coverage on a rotational basis and assists with developing a rotational schedule.
• Has primary oversight for updating and maintaining the contact list, including several hundred key contacts across MGH/MGB, on a bi-annual basis.
• Facilitates the introduction of grateful patients to Prospect Research and/or Gift Officers, as appropriate.
• Ensures that medical records, imaging, and referrals are acquired and uploaded to EPIC
• Participates in professional development including taking advantage of shadowing opportunities when appropriate
• Creates and regularly updates reports regarding Client Services facilitation and philanthropy
• Adheres to the mission, credo, and standards of behavior of Mass General Hospital Qualifications
This position requires 2-4 years of experience and a bachelor’s degree. We are looking for someone who has been successful working in a fundraising office or as part of a team in a client-facing or relationship-building role.
