STEP 1: Asset Management: Filing and Support
Employees that have completed training and demonstrated competency in the Filing and
Support of pathology assets will provide the following basic services.
• Knowledge of all Anatomical Pathology units that utilize the Asset Management Service and provide services
to these areas including (but not necessarily limited to) Neuropathology, Dermatopathology, Cytology, and
Immunopathology.
• Accurately and efficiently receive, track, file, document, and distribute anatomical pathology slides and blocks
(including offsite storage facilities) following established policies and procedures.
• Minimize loss of internal and external material by following all criteria for documentation and tracking
incoming and outgoing assets. Check for misfiles and follow procedure for found Misfiles.
• Transport assets between identified slide file and pathology storage facilities as required including off site
locations.
• Transport paraffin blocks to histology lab for recuts with follow up as necessary to insure timely service for
clients.
• Maintain security of slides and blocks by limiting access to assets, using LIS appropriately and enforcing others
removing assets to use the LIS for tracking immediately.

• Order specimens from the Histology lab to assist with patient care requests.
• Order archival assets from offsite storage facility
• Receive and track Pathology assets returned to MGH
• Return and track pathology assets back to originating facility
• Maintain supply inventory. Unpacks supplies as they are received.
• Maintain an adequate inventory of prebuilt slide file boxes and files.
• Maintain order and organization of slides and blocks in all areas serviced by the Asset Management Service.
• Excellent computer skills and /or basic knowledge of Pathology Whole Slide Digital Imaging defined as a
digitized histopathology glass slide image created on a slide scanner, representing a high-resolution replica of
the original glass slide that can then be manipulated through software to mimic microscope review and
diagnosis. Also, referred to as a virtual slide. The ability to complete pre-processing steps and scanning with
knowledge of all applicable computer systems from LIS to Imaging system software.
After competency is achieved in the above, the employee must complete training in the following:
STEP 2: Patient Care and Research
Employees that have completed training and demonstrated competency in Patient Care and
Research will provide the following services.
• Phone Basics: outgoing and incoming, transferring of calls, Customer Service skills, MGH Paging System,
Partners Telephone Directory, use of the Internet, use of Google, looking up institutions, physicians, etc.
• Manage requests for Pathology material (slides, specimens etc.) from clinicians and/or patients and ensures
appropriate documentation and compliance with policies and procedures prior to fulfilling request.
• Retrieve completed requests for slides and other business of the Asset Management Service from testing areas,
research, and other services as necessary or directed.
• Sending out assets using FedEx on-line services, Courier Services, and Mail Services: including contact
information
• Maintain all documentation and communication material related to patient care activities.
• Send and track pathology assets sent out for consultation and not being returned
• Research Requests workflow and documentation; including invoice preparation and payment receipt.
• Cancer Protocol requests
• Forward other facilities’ slides (not MGH’s) to another institution
• Process and send out Pathology assets for Molecular testing to non-MGH facilities.
• Cancel requests as needed or directed.
• Contact the appropriate person(s) for questions and problem cases to avoid delays in servicing routine retrieval
requests and academic requests.
• Collect and document Quality Assurance (QA) data as directed
• Use LIS where appropriate
• Enroll in Research Training for Non-Managers.
• May be asked to aid in training new CSA 1 employees.• High School Diploma or equivalent.
• Previous science, medical terminology education, healthcare and/or customer service experience
preferred.
• Experience with computers, including Microsoft Windows software.
• Good interpersonal and communication skills to be able to interact effectively with all individuals.
• Ability to be flexible in assignment and work accurately under the stress of time constraints and heavy
workload demands.
