Lancashire Insurance Group Looking for Office Manager and Personal Assistant to the US CEO at Greenwich, CT Full Time

Lancashire Insurance (US) LLC are building out a new team to support our exciting new expansion into the American Insurance market. We are recruiting an experienced Personal Assistant & Office Manager to join the team.

Lancashire Insurance (US) LLC will provide full brokerage and underwriting services offering commercial coverages for Property (D&F) and Energy Casualty. We operate under a delegated underwriting arrangement with Lancashire’s London company platform. We expect to offer further coverages in due course.

Purpose

The purpose of this role is to oversee the running of office facilities and provide administrative support to the Chief Executive Officer and Senior Management of the US business.

Specific Responsibilities

Office Management – oversee the general running of office facilities, to include:

• Manage relationship with Greenwich landlord and car parking landlord.
• Manage relationship with the Boston Co-Working Office Space landlord.
• Manage relationships with office suppliers and negotiate contracts where required.
• Maintain the condition of the office and arrange necessary repairs and maintenance.
• Ensure compliance with health and safety regulations in line with the Group policy.
• Manage the office admin budget.
• Liaise and assist HR with new joiner inductions.
• General office duties – ordering couriers, collecting deliveries, ordering office and catering supplies, arranging couriers and any other adhoc office management duties as required.

Personal Assistant to the US CEO and Senior Management:

• Diary management including liaising with internal and external stakeholders.
• Coordinate and update calendars and arrange meetings.
• Take and produce minutes for meetings as required.
• Arrange any external events or meetings as appropriate.
• Fielding any telephone calls, emails and correspondence where required.
• Processing expenses.
• Any other secretarial and personal assistant duties as deemed appropriate and necessary.
• Any other adhoc duties as required.

Travel Coordinator:

• Ensure all travel for US employees is booked in accordance with the Group Travel Policy
• Ensure that all records regarding US employee business travel are kept properly and up to date.
• To assist generally with travel related enquiries and administration for the US business.
• To assist with VISA applications, ensuring internal travel calendar and traveler’s diaries are up to date.

Essential Skills & Requirements

• Experience of providing office management and PA support in a corporate environment.
• Experience of working with a range of internal and external stakeholders at a variety of different levels.
• Some experience working within the insurance industry would be beneficial.
• A positive, professional and flexible attitude is essential, and an ability to work proactively on own initiative.
• Strong IT skills including MS Office, Word, Excel and PowerPoint.
• Excellent written and verbal communication skills and interpersonal skills.
• High level of attention to detail.
• Ability to work under pressure.
• Willingness to be flexible to suit the demands of the role.
