Job Details
As the Executive Assistant to the Leadership Team, you will be responsible for providing proactive and seamless administrative support to our six executive leadership team members, including the Co-CEOs, the President/COO, CFO, and two EVPs. You will play a critical role in maintaining smooth communication channels, managing calendars, coordinating meetings and travel arrangements, and handling confidential information with discretion. This position requires exceptional organizational abilities, strong attention to detail, excellent interpersonal skills, and the ability to thrive in an exciting, fast-paced environment.
General Day to Day Responsibilities
Provide support to our executive team, assisting in daily office needs and managing general administrative activities, including; Calendar and meeting management, travel coordination, communications and correspondence, information management, and general administrative support.
Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
Draft, proofread, and edit correspondence, presentations, reports, and other documents.
Proactively manage and maintain the executives’ calendars, including scheduling appointments, meetings, and conference calls.
Coordinate meeting logistics, including room reservations, audio/video conference setups, and catering arrangements.
Prepare meeting agendas, compile relevant materials, and distribute them to attendees.
Prioritize and handle multiple time-sensitive tasks, such as expense reporting, invoice processing, and document preparation.
Prepare, upon request, executive-level presentations, reports, and spreadsheets, ensuring accuracy and attention to detail.
Oversee general office operation; develop and update administrative practices to improve efficiency.
Qualifications
Proven experience as an executive assistant or in a similar administrative role supporting multiple executives (5+ years of EA experience strongly preferred).
Exceptional organizational and time-management skills, with the ability to prioritize tasks and meet deadlines.
Outstanding verbal and written communication skills, with an eye for detail and grammar.
Proficient in using productivity tools and software such as Microsoft Office Suite, calendar management systems (Microsoft Outlook), and virtual meeting platforms (Microsoft Teams and Zoom)
Proficiency in MS Word, PowerPoint, and Excel
Detailed oriented and comfortable working in a fast-paced, quickly changing office environment.
Excellent written and verbal communication skills
Excellent time management skills and ability to multi-task and prioritize work.
Desire to be proactive and create a positive experience for others, helping with various tasks as required.
