Job Details
Position Overview The Executive Assistant plays a pivotal role in supporting our senior executive and ensuring the smooth operation of the executive’s office. This role requires a highly organized, efficient, and professional individual who can handle a wide range of administrative tasks and work with discretion and confidentiality.
Key Responsibilities
Organize and schedule meetings, both in person, virtual and hybrid.
Arrange and handle all logistics for executive meetings and events schedule meetings; prepare meeting agendas, materials, and presentations and seek pertinent information ahead of the meetings.
Attend meetings, take minutes, and follow up on action items as required.
Handle confidential and sensitive information a high level of professionalism and composure.
Organize travel and maintain the schedules.
Actively engage with the executive’s direct reports to ensure alignment of priorities and open communication paths.
Prioritize inquiries and requests while troubleshooting conflicts if any; make judgements and recommendations to ensure smooth day-to-day engagements.
Prioritize and determine appropriate course of action, referral, or response, exercising judgement to reflect management’s style and organization policy.
Work closely with the Senior executive to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
Anticipate management needs in advance of meetings, conferences, etc.
Coordinate all Executive Team meetings and assist with staff meetings and events as needed.
Manage all aspects of the organization’s office services.
Education and Experience
Bachelor’s degree preferred.
Five (5) years of executive support experience, including supporting senior executives.
Strong verbal and written communication skills
Able to maintain a high level of integrity and discretion in handling confidential information.
Exceptional organizational skills and impeccable attention to detail
High degree of professionalism in dealing with diverse groups of people.
Ability to complete tasks and projects with little or no guidance.
Ability to react with appropriate levels of urgency to situations and events that require quick response or turnaround.
Willingness to take on additional tasks to keep things on track – comfort in a start-up environment.
