Division Human Resources Department Planning & Finance Location Erie, Pa Position Summary POSITION SUMMARY: This position is responsible for clerical duties for Human Resources department. It serves as main backup for the HR front desk (manned by student employees) as well as support department processes to ensure seamless service to employees, students, other customers and vendors. ESSENTIAL FUNCTIONS: 1. Standard clerical duties for the HR department (computer use, fielding inquiries, ensuring smooth operations at the front desk). 2. Responsible for new hire employee and volunteer clearances and ensuring mandatory training and licensure of those who drive for university business. 3. Responsible for scheduling and completion of new hire paperwork for all employees. 4. Assists international faculty with submission of immigration paperwork in conjunction with the immigration lawyer and the Executive Director of Human Resources. 5. Coordinates and tracks agency temporary staff placements. 6. Manages tuition remission and tuition exchange programs to ensure seamless experience . 7. Assists with event planning 8. Responsible for creating and managing blanket orders as well as submitting check requisitions for services rendered. 9. Orders and maintains office supplies and office equipment. 10. Support on-boarding activities of new employees and student employees. 11. Support off-boarding activites of employees exiting the university. 12. Ensures seamless service by supporting HR processes and applying knowledge of departmental policies and university policies/procedure. 14. Responsible for maintenance of HR files and electronic files. Data Entry and use of vendor websites. 13. Performs other related duties as assigned. SUPERVISORY RESPONSIBILITIES: None CONTACT WITH OTHERS: Internal contacts are generally within the HR departtment, employees and students responding to requests for service; with other department securing services or information. External contacts are responding to general public inquiries or arranging meetings and securing information. Required Qualifications Education: High School Diploma or GED Experience: Two or more years of administrative assistant experience; proven ability to retrieve and enter information accurately from the computer. Licenses and Certifications: n/a Skills: The incumbent must possess interpersonal and customer service skills for interactions with coworkers, supervisors, administrators, staff members, students, and the public. Must be able to work well under time constraints, and to prioritize, multi-task, and respond quickly and calmly to urgent situations. Attention to detail and accurate computer entry is a must. Must be proficient with Microsoft Suite (Outlook, Word, Excel, Teams); possess the ability to understand written instructions; proofread work; carry out detailed, written or oral instructions; mathematical skill to perform basic calculations; transcription skill to enter information into records, and logs; skill and ability to type with speed and accuracy; compose correspondence; coordinate tasks; evaluate work conditions and quality, and to make decisions regarding course of actions. Advanced Excel skills strongly preferred. University Mission: Must be able to support and promote the University’s Mission. Preferred Qualifications Experience in Human Resources preferred.
