How you’ll help us Keep Climbing (overview & key responsibilities)

The Administrative Assistant directly supports the Managing Director, TechOps Support. This position performs advanced, diversified and confidential administrative duties requiring a broad and comprehensive experience, skill and knowledge of Delta’s programs, policies and procedures. The candidate must be well organized, flexible and enjoy the administrative challenges of supporting an office of diverse people and programs.

Summary of responsibilities (not comprehensive of all tasks):

• Files, documents, manages database work, and prepares expense reports, reports, decks, memos, letters, and other documents, utilizing MS Word, Excel, PowerPoint, Visio and Outlook.
• Schedules and maintains calendar of appointments, meeting and travel itineraries, and participates in related arrangements for the assigned Infrastructure.
• Screens telephone calls and visitors; uses communication and interpersonal skills to greet customers, business partners, and employees; and resolves routine and complex inquiries.
• Prepares/initiates correspondence, memoranda, reports, transcribes dictation from meetings and distributes minutes of meetings.
• Reserves conference rooms and arranges catering as necessary to support meetings.
• Plan and organize large group on and off-site events
• Assists in developing, implementing and monitoring internal business systems and procedures.
• Manages the assigned building floor administration, including ordering supplies, maintaining supply room organization, managing mailings, and arranging housekeeping needs.
• Practices safety-conscious behaviors in all operational processes and procedures.
• Manage social media accounts

What You Need To Succeed (minimum Qualifications)

• Is at least 18 years of age and has authorization to work in the United States.
• Possesses a high school diploma, GED, or high school equivalency.
• Embraces diverse people, thinking, and styles.
• Demonstrates that privacy is a priority when handling personal data.
• Must be performing satisfactorily in current position.
• Consistently makes safety and security, of self and others, the priority.
• Organizational/leadership skills necessary to develop office procedures, prioritize and schedule work activities of self and others and balance multiple assignments and projects.
• Ability to coordinate the schedules of multiple aspects of projects completed by separate staff members or vendors is required.
• Detail skills necessary to ensure that information is accurate and correct, that documents are grammatically correct, and that work is completed in a timely manner.
• Must have the interpersonal skills necessary to direct the activities of others.
• Must have strong communication skills, verbally and in writing, with all levels of staff, from frontline employees to executive staff.
• Must have the ability to make travel arrangements.
• Must be team-oriented and able to coordinate activities across multiple departments working closely with administrative assistants in other areas.
• Requires proficiency in Windows-based applications like Word, PowerPoint and Excel and Microsoft Outlook.
• Bachelor’s or Associate Degree

What Will Give You a Competitive Edge (preferred Qualifications)

• Experience working as an Administrative Assistant.
• Knowledge of corporate business processes and procedures such as expense reporting, purchasing and departmental budget preferred.
• Bachelor’s Degree or 3 plus years of relevant experience.
• Hands on knowledge of Delta systems.
