Administrative Assistant
Creative Capital supports underserved, risk-taking artists in the creation of new work and in building sustainable practices. For nearly 25 years, Creative Capital has provided unrestricted project grants, professional development programs, industry connections, and community building for individual artists across the country.
The Administrative Assistant reports to the Chief Operating Officer and is a dynamic role that supports the smooth operations of the Creative Capital office, regional, national and international events both in-person and online, communications with artists, individuals, partners, and supporters, and a wide range of services to artists. The ideal candidate is friendly, diplomatic, professional, discreet, detail-oriented, organized, proactive, a fast learner, agile, and passionate about going above and beyond to support Creative Capital’s mission and community. This position is based in the Administrative Department and provides key operational support to the entire organization.
RESPONSIBILITIES
● Provide administrative support for the President and Executive Director and COO, including scheduling appointments and making reservations
● Serve as public-facing greeter for Creative Capital: Greeting visitors; answering phones; answering general questions via phone or email
● Maintain office, including ordering supplies; monitoring office equipment and ensuring office space is always well-maintained; and managing the organization’s master calendar; working with caterers and deliveries as needed; managing incoming mail and outgoing mailings, etc.
● Coordinate events including board meetings, artist gatherings, galas, fundraisers, workshops, panels in-person and/or online
● Coordinate travel arrangements and manage related expense reports
● Other duties as assigned
QUALIFICATIONS
● BA degree in English or arts-related degree and 2+ years of work experience in an administrative capacity
● Strong skills with Mac OS, MS Office, Salesforce, G-Suite, Adobe Photoshop, etc.
● Exceptional written and verbal communication skills in English
● Strong project management and organizational skills
● Capacity to independently execute tasks with accuracy, consistency, efficiency, and attention to detail
● Pleasant demeanor, collaborative, team player, and professional work style
● Ability to work independently and as part of a team
● Ability to organize, prioritize workload, problem solve and handle multiple tasks under pressure
● Honesty, integrity, and confidentiality
The position is full-time, exempt (40 hours/week with ability to do occasional special events or evening work outside of M–F 10:00 AM–6:00 PM). Ideally, candidates are based in New York City. Includes generous paid time off and benefits.
Creative Capital will be offering a salary of $58,500 for this position, along with excellent medical, dental, life, disability, and 401K plan. Our staff also has generous vacation, sick leave, and personal days, and a collegial and collaborative work environment.
