EXECUTIVE ASSISTANT/OFFICE MANAGER
Our client, a highly successful executive coaching firm, a trusted coaching partner to many of the world’s leading corporations and institutions, is looking for an Executive Assistant/ Office Manager to support two senior executive coaches.
As EA/OM you will be the third member of the team to play an integral role in the continued success of the business. In addition to supporting two leading executive coaches, you will interact with senior-level clients from a wide variety of companies and industries daily. As the sole office manager of a small firm, you will have a great deal of autonomy and will be the face – and voice – of the company and will have a direct impact on the growth of the business, as you help us improve our business processes and contribute to our business development efforts.
RESPONSIBILITIES
• Executive Assistant duties, such as scheduling, calendar management, travel arrangements, typing reports, and transcribing
• General reception, answering phones, greeting clients
• Financial administration using QuickBooks to handle expense management, invoicing, accounts receivable, accounts payable
• Office management, ordering supplies, managing vendor relationships, ensuring the functioning of office services and equipment
• Website updates
• Market research
• New prospect identification through LinkedIn and other “network mining”
• CRM activities, such as tracking client interactions and coordinating follow-up activities
• Event planning and coordination, such as off-site team workshops and on-site client luncheons
• Develop content for marketing materials and manage collateral production
Skills and Qualifications:
·Impeccable communication skills, both written and verbal.
·Hard working and a resourceful problem-solver.
·Highly organized and detail oriented, positive attitude and can-do attitude, whatever the task.
·You are flexible and thrive with an unstructured, dynamic workflow. You operate independently but don’t hesitate to ask for clarification or help when needed.
·You are discreet with a keen awareness of how to handle confidential and sensitive information.
·Bachelor’s degree
·8+ years’ experience in C-Suite administrative support.
·Experience working in a small office environment.
·Expert in MS Office Suite apps; familiar with financial (QuickBooks) and CRM (Pipedrive or Salesforce) applications.
·WordPress, Prezi, and Adobe Suite are a plus.
Role is in office 4 days a week, WFH on Friday. Office located near Grand Central Station.
