Position : Operations Assistant

Working Hours: Monday-Friday, 9:00am to 5:00pm Eastern Standard Time (10pm to 6am Philippine Standard Time)

Holidays: To be discussed (TBD)

Salary Range: USD 900-1,400/ month

About the Role:

We are currently seeking an Ops Assistant to handle supporting the entire engineering team and Ops in critical business tasks, to ensure seamless client delivery and ensuring the back end systems are updated as we use those to maintain our client flow and project flow.

We are a fast-moving growth business and grew 40% last year with a goal to double in size again in two years. We are looking for this individual to work within a small team to continue to grow the client base in a variety of ways. Some of the activities include components of operations, engineering, and other business functions.

Responsibilities: A support role for the Engineering and Operations team.

• Entering purchase orders into our CRM and accounting systems
• Coordinate with quotes team to navigate requests for the Insight project database
• Entering customer quote date information in CRM and related info
• Responsible for creating and sending out change orders and cancellation for projects
• Coordinate with VP to run reports in Salesforce
• Coordinate with VP to send out marketing emails in Salesforce (P1/P2/Lead)
• Coordinate all Certificate of Insurances requests from customers
• Support CEO & VP as needed with various committee assignments for organizations (minimal)
• Create & Manage LinkedIn Posts for the company (minimal)
• General Business tasks

Requirements

• 1-3 years of experience in a professional services environment, electrical industry preferred
• Some background in electrical or experience with reviewing electrical plan drawings is a bonus for this position
• Attention to detail and the ability to multi-task
• Passion for customer service and client success
• Great communication skills
• Reliability, professionalism, and good judgment
• Proficiency with Microsoft Office, including Word, Excel
