Job Purpose
Under general supervision, The Administrative Specialist II will provide administrative support by monitoring data analysis, inputting information in various agency systems as requested by the Director of Youth Grievances and Family Support.
Job Responsibilities
Plans, organizes, develops, and implements all administrative and clerical procedures necessary for the operation of Youth Grievances and Family Support within the Division of Programs and Services, which includes coordinating all Department activities and meetings; Preparing and maintaining detailed, complex correspondences and reports that may be confidential and/or sensitive in nature that may include Investigative-related documentations.
Serves as the Administrative Specialist to the Director of Youth Grievances and Family Support. Duties may include but are not limited to filings, copies, monthly reports, coordinating support, preparing memos, composing/responding to correspondences, taking meeting minutes, creating excel spreadsheets, and PowerPoint documents, coordinating and scheduling meetings.
Prepares and completes hiring paperwork and documentation for the department.
Manages and maintains all grievance team reporting systems.
Duties may include but are not limited to accountability reports, PbS report, calendars and databases.
Assists with edits and updates to grievance documents (i.e. routine forms, program guides, SOP’s, policies, etc.) and the storage and dissemination to appropriate parties of said documents.
Orders necessary supplies/materials for Youth Grievances and Family Support Department and accepts assignments for non-routine projects.
Performs other related duties as needed or required to support the division and the mission of the agency.
Minimum And Additional Requirements
STATE MINIMUM REQUIREMENTS:
A high school diploma. Related clerical experience may be substituted for a high school diploma.
Additional Requirements
Knowledge of agency policies, procedures, rules, regulations and program services.
Knowledge of federal and state laws, policies, procedures, rules and regulations related to the specific administrative function.
Knowledge of governmental fiscal and personnel procedures, practices, and policies.
Knowledge of modern office practices, procedures, and equipment.
Ability to coordinate diverse administrative functions.
Ability to communicate effectively.
Essential Position that is under general supervision; work reviewed by the supervisor daily; annually scheduled performance reviews.
Works under the Director of Youth Grievance and Family Support to handle all affairs of the department.
Works closely with the Director of Youth Grievance and Family Support to plan, deliver, and coordinate a variety of functions.
Works effectively under general supervision having scheduled performance reviews (EPM) in accordance with agency policy and other quality assurance checks.
Must be extremely organized with excellent written and oral communication skills.
Employees may have direct and indirect contact with juveniles in correctional settings.
This position performs job duties relating to the custody, control, transportation, or recapture of youth within the jurisdiction of the Department of Juvenile Justice and the employee may have direct and indirect contact with youth within the jurisdiction of the Department of Juvenile Justice. Training applicable to these duties will be provided.

Preferred Qualifications
PREFERRED AGENCY REQUIREMENTS:
A bachelor’s degree and at least one (1) year of clerical, administrative, or office management experience; or high school graduation and five (5) years of clerical, administrative, or office management experience.
